Job Summary

The Human Resource and Administration Officer (HRAO) is a key player in ensuring the efficient management of human capital at St. John Ambulance Kenya. This role encompasses a wide range of administrative responsibilities, ensuring that the daily operations run smoothly while supporting the organization’s overall mission. The HRAO acts as a strategic partner to the CEO and ensures that human resource policies align with the organization’s vision and goals. The position offers the opportunity to work with a dynamic team in Nairobi, contributing to employee engagement, recruitment, performance management, and the overall success of the organization.


Key Responsibilities

1. Recruitment and Onboarding

  • Identify and source suitable candidates for open positions based on organizational needs.
  • Conduct interviews and assessments to select qualified individuals.
  • Manage the contracting and onboarding process, ensuring a smooth transition for new hires.
  • Ensure alignment of new employees with the organization’s culture and values.

2. Employee Relations

  • Build and maintain positive relationships with employees.
  • Handle employee inquiries, complaints, and grievances with professionalism.
  • Facilitate conflict resolution and mediation among staff members.
  • Advise the organization on legal and professional handling of employee-related matters.
  • Develop retention strategies to minimize turnover and improve employee engagement.
  • Manage attrition and support continuous employee engagement.

3. Performance Management

  • Develop and implement performance appraisal systems that are aligned with the organization’s goals.
  • Support departmental managers in conducting performance reviews and giving constructive feedback.
  • Identify training and development needs and recommend programs to improve employee performance.

4. General Office Administration

  • Manage office supplies and ensure timely maintenance and repair of equipment.
  • Maintain employee records and files in compliance with legal requirements.
  • Coordinate travel arrangements and other logistical needs for staff.
  • Schedule and organize meetings, ensuring proper use of resources.

5. HR and Office Administration Policy Development

  • Create and implement HR and office administration policies that support organizational goals.
  • Ensure compliance with employment laws and regulations, providing regular updates to management.
  • Offer insights and support for the continuous improvement of HR processes.

6. Succession Planning

  • Develop a succession planning strategy by identifying and nurturing internal talent.
  • Create a talent pool to ensure business continuity in key roles.

7. Volunteer HR Support

  • Provide HR support to the organization’s volunteer workforce, ensuring smooth integration and management.

8. Training and Development

  • Design and implement training programs to enhance employee skills and performance.
  • Coordinate essential training sessions on topics such as labor laws, health and safety, and HR processes.

9. HR Reporting

  • Collect and analyze HR data, presenting it to management and the HR committee for strategic decision-making.

10. Compliance with Labor Laws and Statutory Regulations

  • Administer payroll and ensure timely payments in accordance with labor laws.
  • Oversee employee benefits programs, including health insurance and retirement plans.
  • Conduct periodic compensation reviews to ensure fair and competitive pay structures.

Minimum Qualifications

  • Bachelor’s or Master’s degree in Human Resource Management, Commerce, or Administration.
  • Certified CHRP-K professional.
  • IHRM membership is required.
  • A minimum of 5 years of relevant HR experience, including at least 2 years in a supervisory role.
  • Strong understanding of the Federation of Kenya Employers (FKE) and its role in HR management.
  • Familiarity with Microsoft 365 and MS-Office productivity tools.
  • Project management skills are essential for coordinating HR initiatives.

Job Specifications

Educational Background

  • Bachelor’s / Master’s degree in a relevant field such as Human Resource Management or Administration.

Certifications

  • Certified Human Resource Professional – Kenya (CHRP-K).

Professional Memberships

  • Active membership in the Institute of Human Resource Management (IHRM) is mandatory.

Work Experience

  • At least 5 years of HR experience, with at least 2 years in a supervisory capacity.

Technical Skills

  • Proficient in HR management systems and office productivity tools.
  • Experience with performance management systems and HR data analysis.

Location

Supervisory Role

The Human Resource and Administration Officer will report to the Chief Executive Officer (CEO) and supervise the following direct reports:

  • Administrative Drivers
  • Office Assistants (Cleaners, Kitchen Assistants, Riders)

Key Performance Indicators (KPIs)

To be determined upon joining the organization. These will measure the success of the role based on recruitment efficiency, employee engagement, compliance with labor laws, and overall HR operations performance.

  • Strong understanding of the role of the Federation of Kenya Employers (FKE).
  • Proactive and self-motivated individual who can work independently and as part of a team.
  • Ability to remain focused and productive under pressure and meet tight deadlines.
