Key Responsibilities
As an H.R & Admin Assistant, you will play a vital role in ensuring the smooth functioning of the HR and administrative departments by performing the following duties:
1. HR Support
- Recruitment and Onboarding: Assist in managing the recruitment process by coordinating job postings, reviewing resumes, and scheduling interviews. Support onboarding processes for new employees to ensure a seamless experience.
- Employee Records Management: Maintain and update accurate employee records, including personal information, employment history, and documentation. Ensure all records are kept confidential.
- Payroll Assistance: Provide support in preparing payroll data, ensuring employee attendance records are accurate, and processing employee leave requests.
- Employee Relations: Assist in addressing employee queries and providing information on company policies, benefits, and procedures.
- Compliance: Ensure that all HR processes comply with local labor laws and regulations.
2. Administrative Support
- Office Management: Oversee daily office operations, manage office supplies, and ensure a conducive work environment.
- Meeting Coordination: Organize and schedule meetings, ensuring all logistics such as room bookings, materials preparation, and meeting minutes are handled efficiently.
- Document Management: Maintain filing systems, both physical and digital, ensuring that documents are well-organized and easily accessible.
- Vendor Management: Liaise with external vendors for office-related services, ensuring timely deliveries and effective service agreements.
Qualifications and Skills
To excel in this role, candidates should meet the following requirements:
Essential Qualifications:
- Diploma or Bachelor’s Degree in Human Resources, Business Administration, or a related field.
- A minimum of 2 years’ experience in an HR and administrative capacity is preferred.
- Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with a demonstrated ability to multitask and prioritize in a fast-paced environment.
- Excellent communication and interpersonal skills, with a focus on customer service and team collaboration.
- Attention to detail and the ability to maintain confidentiality in handling sensitive employee information.
- Knowledge of Kenyan labor laws and HR best practices.
Preferred Skills:
- Problem-solving abilities with a proactive approach to tackling administrative and HR-related challenges.
- Experience with HR software such as BambooHR or similar tools will be an added advantage.
- Time management skills to handle multiple tasks efficiently and meet deadlines.
- Ability to work independently as well as part of a collaborative team.
