Position Summary

The Procurement Officer at Ngong Veg plays a critical role in ensuring that all procurement activities align with the company’s policies and procedures while adhering to best practices in procurement. The Procurement Officer will manage the entire Requisition to Pay (RTP) process, ensuring that the supply chain operates efficiently and cost-effectively. The role requires a commitment to ethical standards and professional conduct, contributing to the overall business objectives of Ngong Veg.

Key Responsibilities

1. Requisition to Pay (RTP) Management

  • Oversee the entire Requisition to Pay process, ensuring that all procurement activities are conducted efficiently and within budget.
  • Monitor supply chain costs and develop action plans for cost optimization.

2. Supplier Sourcing and Engagement

  • Source and engage suppliers to meet the company’s procurement needs.
  • Negotiate purchases in managed categories, ensuring favorable terms for Ngong Veg.

3. Stores Operations and Management

  • Manage store operations, including the receipt, storage, and issuance of goods.
  • Ensure timely delivery and distribution of goods to users within the company.
  • Maintain accurate stock records on ERP systems and ensure that stock takes are conducted as scheduled.

4. Supplier Performance Management

  • Coordinate and develop supplier assessments and scorecards to evaluate supplier performance.
  • Maintain and update the supplier and products database regularly.

5. Compliance and Ethics

  • Promote and maintain ethical and professional standards in all procurement activities.
  • Ensure compliance with company policies, Environmental, Health, and Safety regulations, and industry codes of conduct.

6. Market Research and Procurement Decisions

  • Conduct market research to inform procurement decisions and identify potential suppliers.
  • Regularly communicate with users to provide training on purchasing processes.

7. Health and Safety Compliance

  • Ensure that all procurement activities adhere to Health and Safety guidelines and Environmental policies.

Qualifications and Experience

Essential

  • Minimum 3-5 years of procurement experience within the horticulture/agriculture sector.
  • Bachelor’s degree in a business or technical field.
  • CIPS Diploma in Purchasing and Supply or its equivalent.
  • Membership in KISM or CIPS.
  • High level of integrity, customer focus, negotiation, planning, and problem-solving skills.
  • Proficiency in Enterprise Resource Planning (ERP) systems.

  • Timely and efficient response to issues raised in procurement processes.
  • Accurate and timely reporting on procurement activities.
  • Effective communication with all staff members and stakeholders.
  • Ability to audit procurement activities and maintain good audit reports.
