Job Purpose / Mission

As an Archiving Officer Intern, your primary responsibility will be to manage the organization, preservation, and retrieval of records and documents within ENGIE’s archives. You will play a crucial role in maintaining the integrity of company records and ensuring their accessibility to relevant stakeholders. This is a temporary position based in Nairobi, Kenya.


Key Responsibilities

Record Management

  • Manage the organization’s records and documents according to established archival standards.
  • Maintain efficient documentation systems that ensure records are up-to-date and easily accessible.

Documentation Preservation

  • Ensure the preservation and conservation of historical records, including paper documents, photographs, digital files, and other media.
  • Implement strategies to protect records from degradation and ensure long-term access.

Cataloguing and Indexing

  • Develop and maintain detailed catalogues and indexes of archival materials, ensuring that records are systematically organized and retrievable.
  • Ensure that the records are appropriately tagged and classified for easy retrieval by relevant personnel.

Digitization Projects

  • Lead digitization projects to convert physical records into digital formats, ensuring that all critical documents are preserved digitally.
  • Manage the digital records to facilitate remote access and improve overall data security.

Access Control

  • Implement access controls to secure sensitive or confidential information within the archives.
  • Monitor and regulate who can access specific records and ensure compliance with data protection regulations.

Research Support

  • Provide research support to internal teams, historians, and other stakeholders by assisting with inquiries and locating archival materials.
  • Collaborate with various departments to ensure they have the resources they need for ongoing projects.

Compliance

  • Ensure strict adherence to regulations, policies, and guidelines related to records management and archival practices.
  • Monitor changes in industry standards and implement them into existing workflows to ensure continuous compliance.

Key Qualifications and Skills

Experience

  • Previous experience in archives, libraries, or records management is highly desirable.
  • Strong understanding of archival principles, practices, and industry standards.
  • Basic knowledge of Excel spreadsheets and data entry skills is required.
  • Experience assisting customers/clients with escalated issues is a plus.
  • Proven critical thinking skills, including fact-finding, analysis, and sound decision-making.
  • Excellent communication skills, both written and verbal.

  • Strong attention to detail and organizational skills.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Self-motivated and capable of working under tight deadlines.
  • Open-minded, with the ability to work in a flexible and creative environment.

Educational Qualifications

  • Bachelor’s degree in Library Science, Archival Studies, or a related field is required.

Language Requirements

  • Fluency in English and Kiswahili is essential.

Technological Proficiency

  • Proficiency in using Microsoft Office tools such as Word and Excel is required.
