Introduction:

Join our team at Peace Winds Japan (PWJ) as a Workshop Office Assistant in Kakuma. PWJ is dedicated to providing humanitarian assistance and support to communities in need. We’re looking for a highly motivated individual to ensure the smooth operation of our workshop through effective administrative support.

Position Overview:

As a Workshop Office Assistant, you’ll work under the supervision of the Workshop Officer, adhering to PWJ policies and procedures. Your primary responsibility will be handling administrative tasks to facilitate the efficient functioning of the workshop. Collaboration with the workshop team and other staff members will be essential to excel in this role.

Roles & Responsibilities:

  • Customer Service: Ensure customer needs are met, organize scheduling, and maintain accurate documentation.
  • Communication: Handle email correspondence for vehicle scheduling and bookings, keeping customers and supervisors informed of maintenance progress.
  • Data Management: Scan documents, transfer technician notes into software, and perform data entry tasks.
  • Vehicle Management: Receive and hand over customer vehicles, liaise with spare parts technicians for timely part availability.
  • Record Keeping: Maintain logs and spreadsheets to track recalls, service, and maintenance activities.
  • Paperwork: Handle routine paperwork related to vehicle repairs, maintenance, and general fabrications.
  • Filing: Organize and maintain document filing systems.

Requirements:

  • Certificate in Mechanical Engineering (Automotive option) and Driving License class BCE.
  • Experience in motor vehicle repairs, generators, plant, and equipment maintenance.
  • Proficiency in spare parts management, including part numbers and coding.
  • Computer literacy with proficiency in Word, Excel, and Internet usage.
