The Emergencies and Humanitarian Action Unit (EHAU) is at the forefront of IRC’s emergency preparedness and response. Key Responsibilities

As a Unit Assistant, you will play a pivotal role in ensuring the smooth operations of the Emergencies and Humanitarian Action Unit (EHAU) by providing high-level administrative and information management support.

Administrative Support

  • Calendar Management: Efficiently manage the Vice President’s (VP) calendar, including scheduling internal and external meetings, coordinating meeting materials, and liaising across departments.
  • Travel Coordination: Arrange travel logistics, including booking flights, accommodation, ground transportation, and preparing detailed travel itineraries.
  • Expense Management: Prepare, track, and submit expense reports, as well as raise purchase requests/orders in compliance with IRC policies.
  • Meeting Organization: Schedule and organize meetings, including Senior Management Team (SMT) meetings. Responsibilities include preparing agendas, taking minutes, sharing meeting materials, and circulating action items.
  • Forward Planning: Collaborate with the Unit and Strategic Initiatives Officer to maintain an updated planning calendar for bi-weekly SMT meetings.

Communication and Information Management

  • Email Distribution: Maintain EHAU all-staff email distribution lists, ensuring efficient communication across the unit.
  • Internal Platforms: Update and manage EHAU’s RescueNet page and Teams channel to facilitate cross-unit communication.
  • Presentation Materials: Prepare professional materials for meetings such as board meetings and strategy presentations.
  • Newsletter Contributions: Support the VP in contributing to the EHAU Newsletter.

Operational Assistance

  • Event Coordination: Provide logistical support for unit-wide events, workshops, and conference calls, ensuring seamless execution.
  • General Office Tasks: Assist with IT, facilities, and office-related inquiries, including managing conference room bookings.

Other Duties

  • Strategic Contributions: Maintain project management tools to support strategy implementation and ensure timely progress updates.
  • Miscellaneous Tasks: Execute additional tasks as assigned to meet operational needs.

Qualifications and Skills

Minimum Requirements

  • Educational Background: Bachelor’s degree or equivalent experience.
  • Professional Experience: At least two years of relevant experience in administrative roles, ideally within a humanitarian or development organization.
  • Organizational Skills: Detail-oriented with the ability to multitask in a fast-paced environment.
  • Technical Proficiency: Advanced knowledge of MS Office tools, including ExcelPowerPointWord, and Teams.
  • Interpersonal Skills: Strong communication skills with the ability to manage relationships at various organizational levels.

Preferred Additional Requirements

  • Language Skills: Proficiency in French or Arabic is a plus.
  • Judgment and Confidentiality: Proven ability to handle sensitive information discreetly.
