JOB TITLE: Talent Acquisition Associate
REPORTING TO: Senior Talent Acquisition Officer

PERIOD: 6 Months (Short-Term)

JOB PURPOSE
The Talent Acquisition Associate will provide essential support to the Talent Acquisition (TA) team, contributing to its effectiveness and improving key talent acquisition metrics. The role involves screening applications, scheduling interviews, posting job advertisements, and developing talent pipelines for assigned portfolios, including easy-to-fill, hard-to-fill, and mission-critical roles.
KEY RESPONSIBILITIES
1. Recruiting and Sourcing Assistance
- Detailed screening of candidates, prioritizing them for recruiters’ review.
- Sourcing high-quality candidates and aligning their profiles with the organization’s needs.
- Collecting email references for candidates as requested by the TA/HR team.
- Handling confidential information to ensure candidate anonymity.
- Engaging potential candidates and referral sources professionally and knowledgeably.
- Responding to candidate inquiries via phone and email.
- Generating monthly customer satisfaction survey reports for the TA team.
2. Maintain Internal and External Talent Pipelines
- Gathering information from shortlists, interview feedback, talent review meetings, and leadership development debriefs to add potential candidates to the talent pipeline.
- Efficiently cataloging and managing knowledge to identify viable candidates from past searches.
- Screening applications from the dummy advert and adding potential candidates to the pipeline.
- Profiling key grants/BD roles to develop a pipeline to fill positions as per the given timeline.
3. Administrative Support
- Assisting in recruitment requests once fully approved and guided by the Senior TA.
- Regularly updating the recruitment tracker as agreed with the team.
- Ensuring smooth onboarding for new hires, including sharing contracts and offer letters.
- Keeping all interview documents in the personnel file.
4. Other Duties
- Covering for the Talent Acquisition Officer and/or Senior Talent Acquisition Officer during their short-term leaves.
- Assisting in team projects as needed, at the discretion of the supervisor.
REQUIRED PROFESSIONAL EXPERIENCE AND QUALIFICATIONS
- Bachelor’s degree in Human Resource, Business Administration, or equivalent.
- 1-3 years of relevant experience in HR administration in a busy environment.
- Knowledgeable on Talent Acquisition processes and policies.
- Familiarity with Applicant Tracking Systems (ATS).

- Excellent communication skills, both written and oral.

- Excellent organizing, planning, implementing, and coordinating skills.
- High attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, MS Teams) and other tools such as Zoom and Qlik.
