Stores Officer

Job Summary

As a Stores Officer, you will be pivotal in controlling the seamless flow of stock through our warehouse. Your role encompasses monitoring goods in and out, ensuring the safe and efficient handling of items, and meticulously maintaining stock records. While Warehouse Assistants play a crucial role in this process, the specific duties and their extent vary based on the size and nature of the store.

Duties and Responsibilities

  • Receipt and Verification: Thoroughly inspect all warehouse deliveries, meticulously checking quality, quantity, and condition before documenting the goods received note.
  • Quality Assurance: Verify the quantity and quality of goods/materials, ensuring accurate receipt and issuance of accompanying documents.
  • Stock Management: Maintain optimal stock levels through meticulous stock reconciliations to facilitate smooth operations.
  • Collaboration: Work closely with the procurement department/officer for purchases and the disposal of uniforms.
  • Reporting: Prepare comprehensive monthly store reports to provide insights into inventory status.
  • Uniform Management: Physically check uniform returns for guards proceeding on leave, cross-referencing with records before clearance.
  • Stock Maintenance: Ensure proper stock levels are consistently maintained, actively participating in stock takes and updating necessary reports.
  • Guard Support: Facilitate the kitting of new guards and monitor stock to ensure minimum stock levels are sustained.
  • Order Accuracy: Confirm that work orders are accurate and fully completed, ensuring all stock is allocated to the correct end user.

Minimum Requirements and Competencies

  • Education: Bachelor’s Degree in Purchasing and Supplies Management.
  • Experience: At least 2 years of work experience in a stores position.
  • Expertise: Proficiency in supply chain management and related fields.
  • Skills: Excellent numeracy, literacy, and organizational abilities.
  • Customer Focus: Demonstrated commitment to delivering exceptional customer service to warehouse visitors.
  • Physical Capability: Must be physically fit and capable of lifting and moving heavy packages and objects.
  • Attention to Detail: Ability to follow processes and procedures with precision.
