Kenya Institute of Supplies Management

The Kenya Institute of Supplies Management (KISM) is a corporate body established through the “Supplies Practitioners Management Act (SPMA), 2007,” an Act of Parliament. KISM is responsible for training, registering, and licensing supplies practitioners while regulating their practice and related activities. As the National body for Procurement and Supply Chain Professionals in Kenya’s private and public sectors, KISM is dedicated to maintaining high standards and fostering a dynamic work environment. We are currently looking for a skilled and performance-oriented individual to join our team as a Registration Officer (Job Grade KISM 6).

Job Summary

As the Registration Officer, you will play a crucial role in overseeing various aspects related to registration, licensing, standards, discipline, compliance, enforcement, capacity development, internship, industrial relations, and accreditation. Your expertise and dedication will contribute significantly to the growth and efficiency of KISM.

Key Duties and Responsibilities

A. Registration & Licensing

  • Reviewing applications for completeness and responsiveness.
  • Maintaining and managing the register of applications received for registration.
  • Analyzing applications received as guided and ensuring accurate entry into the registration management system.

B. Accreditation of Institutions

  • Assisting in assessing supplies management qualifications of foreign persons.
  • Preparing evaluation tools for local and foreign supplies training programs.
  • Preparing approval tools for accreditation of supplies training programs.
  • Assisting in the preparation of monitoring and evaluation frameworks for accreditation.
  • Conducting preliminary research on the development of policy guidelines for accreditation.

C. Standards

  • Assisting in establishing and maintaining uniform norms and standards for supplies management learning.
  • Helping to develop core curricula for supplies management programs.
  • Developing guidelines for accreditation and inspection of institutions offering supplies management training.
  • Establishing a framework for professional practice among supplies practitioners.
  • Creating a code of conduct in line with regional and international standards.

D. Continuous Professional Development (CPD)

  • Preparing drafts on the desired curriculum as directed.
  • Conducting research on supplies practitioners’ CPD programs.
  • Preparing briefs on CPD-related issues.
  • Assisting in assembling materials for continuing professional training and development.

E. Internship & Industrial Placement

  • Conducting research on the curriculum for the registration of supplies practitioners.
  • Researching the requirements for establishing a school of supplies management.
  • Assisting in drafting requirements to facilitate internship for graduates seeking registration.

F. Discipline & Ethics

  • Assisting in verifying and processing complaints of professional misconduct or breach of standards.
  • Participating in investigations into complaints submitted.
  • Assisting in conducting hearings of complaints and drafting decisions.
  • Following up on Disciplinary Committee recommendations and ensuring full compliance.

G. Surveillance & Enforcement

  • Participating in inspections of institutions offering supplies management training.
  • Contributing to the development and review of inspection checklists for accredited institutions.
  • Assisting in recommendations for approval of institutions and supplies practitioners.
  • Conducting research and benchmarks on the regulation of supply chain institutions and practices.

Person Specifications

To be eligible for this position, candidates must have the following qualifications:

  • Bachelor’s degree in a relevant discipline related to Supply Chain Management, Procurement, Commerce, Business Administration, Finance, Human Resource, Law, or Social Sciences from a recognized institution.
  • Registration by a relevant professional body or society where applicable.
  • Proficiency in computer applications.
  • Leadership and Integrity as per Chapter 6 expectations.
