Job Summary
As a Purchasing Accounts Assistant, you will be responsible for managing the financial aspects of purchasing, ensuring accurate bookkeeping, reconciling ledger stock balances, and providing timely financial reports. Your role will be critical in maintaining inventory controls, managing invoices, and ensuring that all accounting transactions are carried out in compliance with internal controls and company policies. This position requires strong analytical skills and a proactive approach to problem-solving within the procurement accounting process.
Key Responsibilities
- Purchasing Accounting Management: Take full responsibility for managing the purchasing accounts, including booking debit notes and controlling invoice variance reports.
- Invoice Management: Ensure the timely booking of invoices, verifying them against the supply chain controller‘s records, and ensuring the accuracy of postings.
- Inventory Control: Maintain detailed inventory records, reconcile ledger stock balances with physical stock balances, and report any discrepancies.
- Variance Reporting: Monitor all expenses and imperfection accounts, preparing monthly variance reports to highlight key financial discrepancies.
- Unbooked Invoice Monitoring: Track and monitor all unbooked invoices, ensuring they are promptly returned to the accounts department for processing.
- Reconciliation Tasks: Reconcile physical inventory against the system ledger balances and advise management on financial reporting.
- Expense Tracking: Monitor all related expenses and assist in budgeting and cost control efforts within the finance department.
Qualifications and Skills
- Education: Bachelor’s degree in Finance or Accounting. CPA (K) certification is a must.
- Experience: A minimum of 3-5 years of accounting experience, with at least 2 years in a similar role, preferably as a Procurement Accountant.
- Technical Skills: Advanced proficiency in Microsoft Excel is required. A strong understanding of accounting concepts, internal control procedures, and procurement processes is essential.
- Analytical Skills: Strong analytical and problem-solving abilities to handle high-volume transactions in a fast-paced environment.
- Team Player: Self-motivated and capable of working both independently and as part of a team.
Preferred Qualifications
- Procurement Accounting Experience: Prior experience in procurement accounting or purchasing account management will be an added advantage.
- Attention to Detail: Exceptional attention to detail with the ability to identify and resolve discrepancies quickly.
- Internal Controls: Proficiency in managing and implementing internal control procedures to ensure compliance with financial regulations.
