Introduction
The Food and Agriculture Organization of the United Nations (FAO) seeks to recruit three dedicated Programme Assistants to contribute to the successful delivery of its strategic programmes in Kenya. Key Responsibilities
As a Programme Assistant, you will support the daily implementation and monitoring of programme and project activities. Your core duties include:
1. Programme and Project Support
- Collaborating with the project manager to follow up with various FAO units and partners.
- Assisting in the planning, implementation, and tracking of project workplans, objectives, and activities.
- Ensuring alignment with FAO’s rules and regulations, particularly for services under MS 502 and 507.
2. Administrative Coordination
- Preparing and submitting annual and quarterly project workplans, procurement, LoA, and travel plans in collaboration with technical teams.
- Assisting the Monitoring and Evaluation (M&E) unit in preparing periodic project reports for final submission.
- Tracking travel authorizations and ensuring timely processing of related documents such as LTECs and BTORs.
3. Operations and Asset Management
- Monitoring project-related procurement requests to ensure timely delivery.
- Maintaining an up-to-date asset register for project-related items and facilitating proper handover.
- Regularly updating the register of programme contracts and LoAs on the shared drive.
4. Financial Oversight
- Reviewing financial reports from service providers for accuracy and completeness.
- Collaborating with the operations and finance teams to ensure timely payments and closure of POs.
5. Communication and Reporting
- Supporting the compilation of project success stories for documentation purposes.
- Liaising with FAO’s communications team to showcase impactful results.
6. General Tasks
- Performing other duties as assigned by the Programme Manager, ensuring seamless execution of FAO’s strategic objectives.
Qualifications and Skills
Minimum Requirements
To be considered, applicants must meet the following criteria:
- Education: Bachelor’s degree in Agriculture, Environmental Sciences, Rural Development, or related fields.
- Experience: At least six years of relevant experience in project management and/or operations.
- Languages: Proficiency in English and Kiswahili.
- Nationality: Applicants must be Kenyan nationals.
