Job Overview

Valar is seeking an enthusiastic and detail-oriented Program Associate to support international development projects. This role will primarily provide assistance in project management, coordination, and administrative tasks for programs funded by the U.S. Department of State (DOS) and the UK Foreign, Commonwealth & Development Office (FCDO). The successful candidate will play a crucial role in ensuring the effective delivery of projects that have global impact, working closely with a team of dedicated professionals in a fast-paced, multicultural environment.


Key Responsibilities

Project Coordination & Implementation Support

  • Assist in Work Plan Development: Help in creating detailed project work plans to align with the objectives set by program donors like the DOS and FCDO.
  • Organize Project Activities: Coordinate events such as workshops, trainings, and field visits, ensuring seamless execution and maximum impact.
  • Track Project Milestones: Maintain accurate records of project progress and update relevant stakeholders using project management tools.
  • Prepare Reports: Collaborate on preparing project reports that meet donor guidelines and deadlines.

Administrative Support

  • File and Document Management: Maintain all project files and ensure they are up-to-date and compliant with standards set by DOS and FCDO.
  • Meeting Coordination: Schedule and organize meetings, workshops, and events, including preparing agendas, recording minutes, and tracking action points.
  • Travel Arrangements: Assist with making travel arrangements for staff and consultants, ensuring compliance with travel policies.

Financial Management Support

  • Budget Monitoring: Assist in tracking project budgets, ensuring that financial records are accurately maintained.
  • Invoice Review: Ensure invoices are reviewed in line with financial regulations and maintain compliance with DOS and FCDO financial policies.
  • Financial Forecasts: Help prepare financial forecasts and budget projections based on the program’s activities.

Communication and Coordination

  • Stakeholder Management: Act as the point of contact for both internal and external stakeholders, providing timely responses and relevant information.
  • Report Preparation: Assist in the preparation of reports, presentations, and other necessary communication materials to be shared across project teams.
  • Event Support: Contribute to the successful organization of project events and workshops, ensuring they meet program objectives.

Qualifications

  • Bachelor’s Degree: In a relevant field such as international development, project management, or social sciences.
  • 3-5 Years Experience: Previous work experience with the FCDO or DOS in a project management or coordination capacity is required.
  • Project Management Skills: Proven experience in managing and coordinating projects within the international development or security context.
  • Attention to Detail: Demonstrated ability to maintain accuracy in data entry and record-keeping.
  • Communication Skills: Excellent verbal and written communication skills in English are essential.
  • Technical Proficiency: Strong working knowledge of Microsoft Office, especially Word, Excel, and PowerPoint.
  • Adaptability: Ability to work well under pressure, handling multiple priorities in a rapidly evolving environment.
