Introduction

As a Procurement Associate, you’ll work under the direct guidance of the Operations Manager, ensuring transparent and efficient procurement services.

Key Responsibilities

1. Operational Strategy Implementation

  • Ensure compliance with UNDP procurement rules, regulations, policies, and strategies.
  • Map out and implement internal standard operating procedures (SOPs) for procurement and logistics.
  • Provide input on the preparation of procurement plans and cost-recovery systems.

2. Procurement Process Management

  • Oversee and ensure proper documentation for issuing individual contracts.
  • Manage recruitment and advertisement processes, including shortlisting, interview arrangements, and consultant evaluation.
  • Ensure timely preparation and dispatch of purchase orders and resolution of any budget-related errors.

3. Vendor Management and Contract Oversight

  • Manage vendor and consultant rosters and oversee the evaluation process.
  • Update and maintain procurement databases, ensuring timely corrective actions for any discrepancies.

4. Knowledge Building and Sharing

  • Organize procurement-related training for operations and project staff.
  • Actively contribute to knowledge networks and communities of practice to share lessons learned.

Qualifications and Skills

Educational Requirements

  • Mandatory: Secondary Education.
  • Preferred: A Bachelor’s degree in Business Administration, Public Administration, Finance, or Economics.

Certifications

  • CIPS Level 2 Certification (to be acquired within one year if not already certified).

Experience

  • Minimum of 6 years (with a high school diploma) or 3 years (with a bachelor’s degree) of progressively responsible administrative experience.
  • Demonstrated experience in public sector procurement of goods and services.
  • Advanced proficiency in Microsoft Office Suite and web-based management systems (ERP).

Desired Skills

  • Proficiency in procurement management systems.
  • Strong stakeholder management and risk mitigation abilities.
  • Excellent communication skills to engage with diverse stakeholders effectively.

Languages

  • Required: Proficiency in English.
  • Desirable: Knowledge of Kiswahili.
