PROCUREMENT AND ADMINISTRATION INTERN

Job Responsibilities

Review of Purchasing Requests:
Ensure purchasing requests are detailed and complete, gathering additional information as necessary.

Office Administration Coordination:
Manage general office administration, including asset management, security, insurance, and record keeping.

Procurement Guidance:
Offer advice to programs and departments on procurement matters, aiding in problem-solving when needed.

Policy Development:
Contribute to the creation, implementation, and interpretation of procurement and logistics policies.

Documentation Management:
Organize procurement documentation for reporting, analysis, and tracking purposes.

Supplier Payment Verification:
Verify supplier payments, ensuring correct documentation prior to submission to Finance.

Reporting:
Assist in weekly reporting for the procurement and administration departments.

Fleet Management:
Maintain the fleet log, developing schedules for efficient and cost-effective fleet use, including service and fuel monitoring.

Vendor and Staff Communication:
Facilitate communication between vendors and staff to ensure smooth procurement procedures.

Job Requirements

Education:
Bachelor’s degree or Diploma in a business-related field.

Professional Certification:
Membership of the Kenya Institute of Supplies Management or equivalent professional body.

Experience:
Minimum of one year of prior experience.
