Role Overview

The Pharmaceutical Procurement Associate is essential to ensuring the seamless supply of pharmaceutical products, managing inventory, and fostering supplier relationships. Working closely with suppliers, finance, and customer service, this role ensures optimal stock availability and contributes directly to the company’s mission of transforming healthcare.


Key Responsibilities

1. Stock Planning and Management

  • Plan stock purchases based on demand forecasts to avoid stockouts.
  • Maintain accurate stock nomenclature and categorization for all pharmaceutical products.
  • Monitor out-of-stock items and recommend substitutes or provide updates on restocks.

2. Purchase Order Management

  • Prepare and fulfill purchase orders in a timely manner.
  • Update SKU pricing through RFQs and select suppliers based on negotiated terms.
  • Collaborate with the supply manager to ensure competitive purchasing strategies.

3. Inventory Accuracy

  • Keep inventory systems updated to reflect real-time stock levels.
  • Efficiently manage backorders and ensure adherence to profit margins and delivery timelines.

4. Order Reconciliation

  • Verify the accuracy of quantities, SKUs, and prices for all received goods.
  • Resolve discrepancies in supplier deliveries and identify suitable alternatives for unavailable products.

5. Supplier Relations

  • Support negotiation of favorable pricing and credit terms with suppliers.
  • Maintain updated supplier contracts and foster positive, collaborative relationships.

6. Product Catalog Mapping

  • Map and analyze supplier catalogs, identifying high-demand products and viable substitutes.

7. Finance Collaboration

  • Ensure supplier accounts align with agreed contract terms.
  • Share invoices promptly with the finance team for timely processing.

8. Customer Experience Collaboration

  • Collaborate with Customer Experience Leads to propose suitable alternatives for unavailable items.

Requirements

  1. Educational Background:
    • Diploma in Pharmaceutical Technology or a Bachelor’s degree in Pharmacy or a related field.
  2. Professional Licensing:
    • Registration with the Pharmacy & Poisons Board (mandatory).
    • Valid pharmaceutical practicing license (preferred).
  3. Experience:
    • Minimum of 2+ years in stock management, purchasing, supplier relations, and order reconciliation.
  4. Skills:
    • Strong analytical, negotiation, and organizational abilities.
    • Excellent written and verbal communication skills.
    • Ability to multitask and work independently.
