Job Purpose As an Office Associate, you will work under the supervision of the Administrative Associate, providing crucial office support to the Project team.
Principal Responsibilities
- Efficient Documentation: Maintain an organized filing system for the project, including basic documentation, typing, photocopying, and collating.
- Financial Support: Process and follow up on invoice payments and surrenders.
- Logistics Assistance: Assist the Administrative Associate in organizing staff logistics and fuel requests.
- Office Maintenance: Ensure a safe and clean office environment at all times.
- Hospitality: Prepare beverages for staff and visitors.
- Clerical Duties: Handle filing and perform routine clerical tasks.
- Supplies Management: Collect office supplies from relevant vendors.
- Equipment Operation: Operate office machines such as telephones, photocopiers, scanners, etc.
- Mail Management: Handle postage/delivery and receive office documents.
- Reception Assistance: Assist in front office/reception duties.
Required Qualifications Education, Experience & Competencies
- Educational Background: At least a Diploma or Certificate in any relevant field.
- Work Experience: A minimum of Three (3) years of work experience in the same field, preferably in a busy environment.
- Skills: Interpersonal skills, basic telephone skills, excellent writing and oral communication skills, time management skills, confidentiality, planning and organizing, reliability, stress tolerance, proactive approach.
