Job Title: Office Assistant – Reliever
Location: Nairobi (HQ), Kenya
Employment Type: Full Time, Contract (4 months)
Reports To: Procurement and Logistics Officer
Supervision: None

Introduction

BOMA Project is a Kenyan NGO that has been instrumental in poverty alleviation in Northern Kenya for over 15 years. Our mission is to uplift 3 million people from extreme poverty by 2027. We focus on providing economic inclusion programs that enhance resilience to crises, with a particular emphasis on last-mile populations in Africa’s drylands who are most vulnerable to climate change and other shocks. We pride ourselves on a tech-savvy, data-driven approach, a high graduation rate, and a predominantly local structure based in Africa.

Job Summary

The Office Assistant is responsible for providing day-to-day office administration and support to the Procurement and Logistics Officer. The position requires a results-oriented and detail-focused professional with a strong understanding of office management processes and operations, including excellent people relations skills.

Responsibilities

Administrative Support

  • Distribute staff monthly communication allowances and data bundles.
  • Assist in document distribution (internal and external).
  • Support in filing and archiving.
  • Manage food and beverage services for staff and guests.
  • Run office errands and handle dispatches and collections required for the office.

Office Management

  • Maintain and replenish office inventory, anticipating supply needs.
  • Support logistical operations for office functions/operations and fieldwork.
  • Assist in receiving goods as required by the supervisor.
  • Manage the day-to-day running of the office, including purchasing all consumables.
  • Manage the front office/reception, welcoming visitors and guests warmly.

Staff and Facility Support

  • Compile the Nairobi staff lunch schedule for monthly reimbursement.
  • Follow all health and safety regulations.
  • Support the Office Cleaners.
  • Ensure OSH compliance for the Nairobi office.
  • Perform other related duties as required by the supervisor.

Qualifications

  • Education: Certificate/Diploma in administration or related courses.
  • Technical Skills: Certificate in computer applications with work experience.
  • Communication: Excellent oral and written communication skills.
  • Problem-Solving: Strong problem-solving skills.
