Position Overview
As an Office Administrator at Varian, you will play a vital role in our organization’s efficiency and effectiveness. You will be responsible for all administrative and clerical duties, arranging meetings and appointments, preparing important documents, and updating records. Your support will relieve executive, administrative, and line managers of complex details and advanced administrative duties.
This is an office-based role located in Nairobi, Kenya.
Key Responsibilities
- Executive Support: Provide administrative support to executives, including managing email and phone correspondence, calendar management, and travel arrangements.
- Document Management: Maintain a structured approach to handling emails and documents, ensuring quick access and systematic follow-up.
- Travel Coordination: Plan and coordinate all travel bookings (flights, accommodation, visas) and meetings for Directors and department members for summits and global meetings.
- Record Keeping: Establish and maintain accurate records, filing, and follow-up systems as per the office’s needs.
- Schedule Coordination: Coordinate schedules among executive team members and plan the logistics of each meeting.
- Event Planning: Plan and facilitate company-wide events or communications initiated by upper management. Organize and plan all company outings and events.
- Vendor Management: Manage IT-related relationships with vendors, including quotes, contracts, and invoices.
- Reception Duties: Responsible for office reception duties.
- Office Supplies Management: Manage office supplies stock by sourcing suppliers, comparing quotes, and placing orders.
- Other Administrative Tasks: Perform other administrative tasks as needed.
Minimum Required Skills and Knowledge
- Experience: Minimum of 4 years in a similar role.
- Language Skills: Excellent fluency in English, both verbal and written.
- Interpersonal Skills: Outstanding interpersonal and communication skills.
- Self-Motivation: Must be a self-motivated team player.
- Organizational Skills: Highly organized, multi-task oriented, and works well in a dynamic environment.
- Technical Skills: Computer literate with proficiency in MS Windows and Office, including E-mail, Microsoft Word, Excel, Teams, and PowerPoint.
- Creativity: Creative and capable of identifying and completing critical tasks independently with a sense of urgency.
- Team Collaboration: Must understand team collaboration in a matrix environment and have effective networking/relationship building skills at all levels within and outside the organization.
- Independence: Able to work independently, make decisions within the scope of this role, and adhere to corporate policies and procedures.
- Critical Thinking: Be a critical thinker with a clear communication style who is pro-active, logical, analytical, and results-oriented.
- Problem-Solving: Exceptional organizational abilities and problem-solving attitude.
