Key Responsibilities

As a Medical Records Officer, your primary duties will include:

  • Catalogue and maintain comprehensive patient records: Accurately record all patient information for outpatient (OP) and inpatient (IP) services, ensuring that records are complete and up-to-date.
  • Implement systematic filing systems: Develop and maintain an organized filing system that allows for quick and efficient retrieval of medical records, reducing wait times and improving patient care.
  • Ensure security and confidentiality of patient information: Adhere strictly to privacy laws and organizational policies to protect sensitive patient data, preventing unauthorized access and breaches.
  • Maintain logs of requested files: Keep detailed records of all medical files requested by various departments or managers, including dates dispatched and returned, to ensure accountability and traceability.
  • Retrieve and dispatch patient cards and files: Provide timely access to patient records for authorized personnel, supporting clinical and administrative operations.
  • Archive old files appropriately: Manage the archiving process for inactive or outdated records, following organizational guidelines and legal requirements for record retention.
  • Ensure proper disposal of medical records: Oversee the secure destruction of medical records that are no longer needed, in compliance with the organization’s policies and relevant legislation.
  • Prepare and maintain periodic reports for the Ministry of Health: Compile and submit accurate statistical data and reports as required by government agencies, contributing to national health statistics and policy-making.
  • Record, analyze, interpret, and disseminate data on specific cases: Utilize health information systems to generate reports on patient statistics, disease trends, mortality rates, and bed occupancy, aiding in strategic planning and decision-making.
  • Compile the Annual Health Statistical Report: Gather comprehensive data throughout the year to produce an annual report that highlights key performance indicators and health outcomes.
  • Collaborate with medical and administrative staff: Work closely with other departments to ensure seamless information flow and support overall hospital operations.
  • Stay updated on industry best practices and regulations: Keep abreast of changes in health information management standards and legal requirements to ensure compliance and improve processes.
  • Perform any other duties as assigned: Flexibly take on additional tasks as needed to support the hospital’s objectives and enhance patient care.

Qualifications and Skills

To be successful in this role, you should possess the following qualifications and skills:

  • Bachelor’s degree in Health Records and Information Technology: Demonstrates a thorough understanding of health records management principles, medical terminology, and information systems.
  • Valid licence from the Health Records and Information Managers Board: Confirms professional recognition and adherence to regulatory standards in health information management.
  • Minimum of 3 years’ experience in a hospital setting: Provides practical knowledge of hospital operations, workflows, and challenges associated with medical records management in a clinical environment.
  • Proficiency in health information systems and technology: Skilled in using electronic medical records (EMR) systems, database management, and relevant software applications.
  • Strong organizational and multitasking abilities: Capable of handling multiple responsibilities efficiently while maintaining high accuracy levels.
  • Excellent interpersonal and communication skills: Able to communicate effectively with medical staff, administrators, and external stakeholders, facilitating collaboration and information sharing.
  • Attention to detail: Meticulous in recording and reviewing data to prevent errors and ensure the integrity of patient records.
  • Knowledge of legal and ethical standards: Familiar with healthcare laws, regulations, and ethical considerations related to patient privacy and data security.

Requirements

To be considered for this position, applicants must meet the following requirements:

  • Educational Qualifications: Bachelor’s degree in Health Records and Information Technology from a recognized institution.
  • Professional Licensing: Valid licence issued by the Health Records and Information Managers Board.
  • Experience: A minimum of three (3) years of relevant experience working in a hospital setting.
  • Technical Skills: Proficiency in electronic health record systems, data analysis tools, and Microsoft Office Suite.
  • Language Proficiency: Excellent command of English, both written and spoken; knowledge of local languages is an added advantage.
