This role reports directly to the Accountant and is responsible for ensuring the accurate input of data into the Terminal Operating System (TOS) from source documents such as manifests provided by shipping lines, Kenya Ports Authority, and Kenya Revenue Authority. Key Responsibilities

In this role, you will take charge of various responsibilities that are essential to the smooth operation of our logistics and cargo management processes. Your primary duties include:

1. Data Entry and Management

  • Keying in original source documents like Manifest and Release Orders into Kwatos & ICMS and the Terminal Operating System.
  • Strict adherence to all port policies, procedures, and security protocols.

2. Cargo Handling

  • Receiving and accurately documenting all types of cargo within the system.
  • Issuing verification memos, proforma invoices, and receipts.
  • Providing gate passes and final release orders as needed.

3. Customer Service

  • Offering over-the-counter support for cargo inquiries and related queries.
  • Managing cargo stock, ensuring accurate control, and performing reconciliations.
  • Issuing loading and offloading instructions in documentation.

4. Document Security

  • Safeguarding accountable documents and ensuring their safe custody.
  • Double-checking all accountable documents before releasing cargo to maintain data accuracy.

5. Record Reconciliation

  • Reconciling physical cargo records with system records.

6. Miscellaneous Duties

  • Performing any other duties as may be assigned from time to time.

Qualifications

  • Diploma in Business, Logistics, Transport, Warehousing, Clearing & Forwarding, or a related field.
  • A minimum of two (2) years of relevant experience.
  • Proficiency in using Terminal Operating System, Excel, MS Word, Kwatos & ICMS.

  • Outstanding communication and interpersonal skills.
