Main Duties and Responsibilities

1. Port Activity Planning and Scheduling

  • Develop efficient traffic flow plans and schedules within the port.

2. Documentation Preparation

  • Ensure the seamless transfer of cargo to CLC by preparing necessary documentation at the port.

3. Invoice Management

  • Collect KPA invoices for settlement and manage KPA gate pass issuance through Kwatos and ICMS.

4. Cargo Coordination

  • Coordinate cargo movement in collaboration with transporters.

5. Query Resolution

  • Address port-related queries and provide up-to-date information on cargo movement from the port to the yard.

6. Cargo Monitoring

  • Assist port assistants in tracking cargo movement from the port to the yard.

7. Cargo Reconciliation and Security

  • Reconcile cargo transfers and ensure the safety and security of cargo.

8. Staff Administration

  • Take charge of staff administration within the department, including shift scheduling, leave management, and performance evaluations.

9. Client Updates

  • Keep clients informed in real-time about their cargo’s status.

10. Financial Oversight

  • Control and approve fuel, flexi, and overtime expenses.

11. Compliance

  • Ensure adherence to all relevant documentation requirements for the transfer of containers/cargo as stipulated by KPA, KRA, and other government agencies.

12. Billing and Liaison

  • Oversee billings from ICD and collaborate with Accounts Payable Officers at CLC for payment, reconciliations, and claims.

13. Reporting

  • Prepare daily port activity reports and circulate them to management.

14. Statutory Compliance

  • Ensure compliance with OHSE requirements for cargo release at the port.

15. Documentation Accuracy

  • Provide prompt and accurate documentation of cargo movement in line with approved procedures and policies.

16. Stakeholder Engagement

  • Liaise with shipping companies, customs authorities, port workers, and other stakeholders.

17. Budgeting

  • Assist in developing the port’s annual budget.

18. Expense Control

  • Monitor expenses and ensure cost-effective operations.

19. Miscellaneous Duties

  • Perform any other duties as assigned from time to time.

Knowledge and Skills Required

To excel in this role, you should possess:

1. Education

  • A Bachelor’s degree in a business-related field with a focus on Freight Management or Logistics, or an equivalent qualification.

2. Diploma

  • A diploma in Clearing and Forwarding.

3. Experience

  • A minimum of 5 years of experience in port operations.

4. Additional Knowledge

  • Familiarity with Kwatos and ICMS is a valuable asset.
