Job Overview: Executive Assistant to the CEO
The Executive Assistant (EA) to the CEO at MMWCA plays a critical role in ensuring the CEO’s effectiveness and efficiency. This position involves providing high-level administrative support, managing communication, and coordinating various activities related to the CEO’s office.
Key Responsibilities
Primary Point of Contact:
Serve as the main contact for internal and external stakeholders regarding the CEO’s office. Handle communication professionally and confidentially.
Administrative Support:
- Assist the CEO with daily administrative tasks such as scheduling meetings, managing the calendar, and handling correspondence.
- Draft and prepare various documents, including reports, presentations, and spreadsheets.
- Ensure the CEO is well-prepared for all commitments, including meetings and travel arrangements.
Meeting Coordination:
- Provide secretarial support for key meetings involving the CEO.
- Prepare agendas, coordinate or write papers, produce minutes, and ensure follow-up actions are completed.
Confidentiality and Professionalism:
- Handle sensitive information with the utmost discretion.
- Manage confidential matters with professionalism and integrity.
Relationship Management:
- Build and maintain positive relationships with staff, stakeholders, and partners.
- Foster a collaborative and service-oriented work environment within MMWCA.
Additional Duties:
- Perform ad hoc duties and other tasks as assigned by the CEO.
- Support the Senior Management Team in coordinating the CEO’s activities.
Qualifications and Experience
Educational Background:
- University Degree in Business Administration or a related field.
- Master’s in Business Administration is an advantage.
Professional Experience:
- Minimum of five years’ experience in a similar role within a reputable conservation organization or NGO.
Skills and Competencies:
- Expert-level written and verbal communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Proficiency in managing confidential matters.
- Exceptional reporting and research skills.
- Flexibility and ability to work under pressure.
- Emotional maturity and eagerness to learn and grow.
- Strong interpersonal skills.
- Excellent knowledge of computer applications.
- Fluency in Maa is an added advantage.
