The Commission on Administrative Justice, also known as the Office of the Ombudsman, is a Constitutional Commission established under Article 59 (4) of Chapter fifteen of the Constitution, as well as the Commission on Administrative Justice Act, 2011. We are entrusted with the responsibility of addressing all forms of maladministration within the public sector in Kenya, and we also oversee and enforce the implementation of the Access to Information Act, 2016.

Job Title: Office Administrator II

Reporting To: Assistant Director Human Resource and Administration

Department: Corporate Services

Job Grade: CAJ 7

Duty Station: Head Office

Duties and Responsibilities:

  1. Coordinating schedules of meetings and appointments.
  2. Coordinating travel arrangements.
  3. Ensuring the security of office records, equipment, and documents, including classified materials.
  4. Ensuring security, integrity, and confidentiality of data.
  5. Establishing and monitoring procedures for record keeping of correspondence and file movements.
  6. Taking oral dictation.
  7. Using e-office to research and process data.
  8. Operating office equipment.
  9. Attending to visitors/clients.
  10. Handling telephone calls.
  11. Booking rooms and conference facilities.
  12. Handling customer inquiries and complaints.
  13. Maintaining an up-to-date filing system in the office.
  14. Preparing responses to routine correspondence.

  2. Diploma in secretarial studies.
  3. Four (4) years of relevant experience in the role of an Assistant Office Administrator I or its equivalent.

Duties and Responsibilities:

  1. Driving the vehicle as authorized.
  2. Detecting and reporting vehicle defects on time.
  3. Ensuring vehicle cleanliness.
  4. Ensuring routine service and maintenance of the vehicle.
  5. Ensuring security and safety of the vehicle, passengers, and goods on and off the road.
  6. Maintaining a daily work ticket.
  7. Carrying out routine checks on vehicle’s systems.
  8. Timely reporting of accidents and follow-up of police abstracts.
  9. Vehicle inspection and keeping up-to-date insurance documents.
  10. Any other duty as may be assigned from time to time.

Job Specification: For appointment to this grade, an officer must have:

  1. Kenya Certificate of Secondary Education (KCSE) mean grade D or its equivalent.
  2. Valid Class BCE Driving License free from any endorsement.
  3. Occupational Trade Test Grade III for drivers.
  4. Passed Suitability Test for drivers.
  5. First Aid Certificate Course lasting not less than one (1) week from a recognized institution.
  6. Certificate of good conduct.
  7. Three (3) years of related experience.
  8. Attended a refresher course for drivers lasting not less than one (1) week within the last three (3) years at a recognized institution.

  6. Conducting legal research on pending case files and coming up with an opinion to facilitate the justice process.

  1. Have a Bachelor of Law Degree (LL.B) from a recognized university.
  2. Have a Diploma in Law from the Kenya School of Law.
