1. Job Title: Operations Intern

1.1 Reporting to: Operations Manager

3. Overall Responsibility of the Job

The primary purpose of the Operations Intern role is to support the efficient coordination of flights, ensuring safety and compliance with aviation regulations during service delivery. This position is guided by the Kenya Civil Aviation Regulations and Company Policy. Key responsibilities include flight planning, communication with aircraft commanders, monitoring flight operations, and providing administrative support to the Operations Department.


4. Key Responsibilities

4.1 Flight Operations

  • Assist in Coordinating Daily Flight Activities: Work closely with the flight operations team to ensure the alignment of flight activities with client expectations and aviation requirements.
  • Support Flight Planning and Dispatch Processes: Contribute to flight planning and dispatch processes while adhering to the company’s Standard Operating Procedures (SOPs) under supervision.
  • Timely Completion and Submission of Flight Plans: Ensure the timely completion and submission of flight plans for active flights.
  • Facilitate the Clearance Process: Assist in the clearance process by delivering manifests to immigration offices.
  • Maintain Comprehensive Records: Maintain accurate records, including flight and event logs, aircrew flying records, and flight operations records for inbound and outbound flights.

4.2 Flight Monitoring & Effective Communication

  • Establish and Manage Air-to-Ground Radio Communication: Establish and manage effective air-to-ground and point-to-point radio communication with aircraft commanders.
  • Data Entry and Post-Flight Filing: Assist in the data entry of all relevant flight information into the company database system. Additionally, ensure post-flight filing of flight operations documents for monitoring purposes.

4.3 Flight Operations Administration

  • Administrative Assistance: Provide administrative assistance to the Operations Department, including tasks such as organizing and replenishing stationery supplies to align with departmental demands.
  • Additional Assignments: Attend to any additional work-related assignments delegated by the Operations Manager and Duty Officer.

5. Qualifications

5.1 Required Qualifications

  • Diploma in Flight Operations/Dispatch: A diploma in Flight Operations or Dispatch is required.
  • Knowledge in Radio Communication: Proficiency in radio communication is essential.
  • Proficiency in Computer Studies: Proficiency in computer studies, including Word, Excel, PowerPoint, Outlook, and Internet, is necessary.

6. Environmental Conditions

AMREF Flying Doctors operates within a twenty-four-hour work environment due to the nature of its operations. This requires a flexible approach to working hours, as the position demands round-the-clock availability to respond to operational needs.
