Job Summary:

The Hotel Accounts Assistant plays a crucial role in supporting the financial operations of our hotel. This role involves maintaining accurate financial records, processing transactions, and ensuring compliance with accounting standards. You’ll manage accounts payable and receivable, reconcile bank statements, prepare financial reports, and assist with budget preparation. Collaborating closely with the finance team, you’ll ensure timely and accurate financial reporting and provide support during audits. Additionally, you’ll liaise with other departments to resolve financial discrepancies and contribute to the hotel’s overall financial health and efficiency.

Key Responsibilities:

Financial Record Maintenance

  • Transaction Recording: Ensure all financial transactions are properly recorded and entered into the computerized accounting systems.
  • Trial Balance Vouching: Continuously vouch the entities’ trial balance to correct possible errors and verify General Ledger account balances.
  • Fixed Assets Management: Maintain fixed assets registers and ensure that company assets are not misused and their existence is verifiable at all times.

Compliance and Reporting

  • Policy Adherence: Ensure compliance with government and corporate policies, laws, and regulations.
  • Accounting Standards: Monitor compliance with generally accepted accounting principles and hotel procedures.
  • Bank Reconciliations: Undertake cash and bank reconciliations regularly.

Financial Analysis and Reporting

  • Data Compilation: Compile and analyze financial information to prepare entries to general ledger accounts, cost centers, and document business transactions.
  • Sales Reports: Take responsibility for daily stock takes, spot checks, reconciliation, and timely preparation of daily sales reports against expenses.
  • Income Verification: Verify income, reconcile receivables, and debtors.

Financial Statements Preparation

  • Statement Preparation: Prepare financial statements and other reports to summarize and interpret the current and projected company financial position.
  • Transaction Analysis: Analyze transactions and processes to identify areas where additional accuracies and efficiencies can be achieved.
  • Cost Accounting: Apply cost accounting methods to achieve efficient representation of cost center performance.

General Ledger Reconciliation

  • Account Reconciliation: Reconcile general ledger accounts regularly to ensure accuracy.
  • Statutory Obligations: Ensure all statutory obligations are met, including payroll preparation.

System Management

  • Accounting Systems: Maintain the system of accounts and keep records of all company transactions and assets.

Qualifications and Requirements:

  • Education: Diploma or degree in Accounting, Finance, or a related field.
  • Experience: Previous experience in an accounting role, preferably in the hospitality industry.
  • Technical Skills: Must have knowledge of the Sage accounting system.
  • Attention to Detail: Strong attention to detail and accuracy.
  • Communication: Good communication and interpersonal skills.
  • Teamwork: Ability to work independently and as part of a team.
