About the Role – Front Office Administrator

We are currently seeking an experienced Front Office Administrator to join our team in Nairobi, Kenya. The ideal candidate will be responsible for managing the front office, overseeing administrative operations, and ensuring smooth daily activities within the office. The Front Office Administrator plays a critical role in ensuring excellent service delivery by attending to visitors and managing office supplies.

Key Responsibilities
The Front Office Administrator will be responsible for the following tasks:

  1. Manning the Reception: Efficiently manage the reception area, welcoming clients and providing them with necessary information.
  2. Handling Calls and Visitors: Courteously attend to incoming phone calls and direct visitors to the appropriate staff members.
  3. Petty Cash Management: Maintain and manage the office petty cash float, ensuring that expenses are reconciled with receipts and reported to the finance department.
  4. Supplies Management: Order and take stock of office and kitchen supplies, ensuring that adequate refreshments are available for staff and visitors.
  5. Receiving and Dispatching Documents: Handle incoming and outgoing documents, ensuring they are properly directed to relevant staff members.
  6. Boardroom and Meeting Coordination: Manage boardroom bookings and coordinate meetings for the Senior Leadership Team.
  7. Flight Bookings: Assist in booking flights for staff and Board members for business travel.
  8. Event Coordination: Organize celebrations of thematic days to promote a positive office culture.

Qualifications and Skills

To be considered for this role, candidates must possess the following:

  • Diploma in Business Administration or a related field.
  • A minimum of 1 year of experience in a similar role, preferably within the real estate or construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent communication and organizational skills.
  • Strong problem-solving skills and the ability to manage multiple tasks efficiently.
