About PELUM Kenya

Participatory Ecological Land Use Management (PELUM) Association is a prominent national network comprised of 63 civil society organizations working with smallholder farmers across Kenya. PELUM aims to promote sustainable ecological land use management for improved livelihoods. As part of our mission to support smallholder farmers, we are looking to hire a skilled Finance Officer to join our team at the PELUM Kenya Country Secretariat in Juja, Kenya.


Job Summary

As a Finance Officer at PELUM Kenya, you will play a critical role in ensuring effective financial management within the organization. Your primary responsibilities will include financial accounting, reporting, analysis, and sub-grant management. The Finance Officer will report directly to the Head of Finance and Administration.

The ideal candidate will have extensive experience in financial accounting, compliance, and grant management within the NGO sector. Key Responsibilities

As a Finance Officer, you will be responsible for:

1. Financial Accounting and Reporting

  • Overseeing financial accounting, reporting, and financial analysis for all organizational funds.
  • Ensuring timely and accurate financial reporting in compliance with donor and organizational policies.
  • Preparing and submitting monthly, quarterly, and annual financial reports to the management and donors.

2. Sub-Grant Management

  • Managing sub-grants, ensuring compliance with donor requirements, and overseeing financial monitoring of sub-grantees.
  • Reviewing and verifying funds requests for payments and imprests, ensuring all documentation is accurate and compliant.
  • Initiating funds transfers and ensuring timely disbursement of grants.

3. Payroll and Statutory Compliance

  • Processing payroll data, reviewing monthly payrolls, and ensuring timely payment of staff salaries.
  • Handling payroll-related statutory payments, benefits such as medical insurance, gratuity, and remitting payments to relevant bodies.
  • Posting all payroll-related transactions into the SAGE accounting package.

4. Audit and Compliance

  • Preparing final accounts and ensuring timely submission to external auditors.
  • Supporting the team during internal and external audits, including financial and systems audits.
  • Maintaining a high level of compliance with both internal and external reporting deadlines.

5. Sage Accounting Management

  • Posting all accounting data into the SAGE accounting system, ensuring accuracy and up-to-date financial information.
  • Generating accurate financial records and reports using the SAGE system.

6. Payment Processing and Monitoring

  • Reviewing, verifying, and processing payment requests, including MPESA payments, cash, and cheques.
  • Monitoring and processing funds payment vouchers and ensuring timely disbursement of payments.

7. Inventory and Equipment Management

  • Maintaining an up-to-date inventory record of all organizational equipment.
  • Ensuring effective maintenance of all equipment in the office and field locations.

Qualifications and Requirements

To be successful in this role, the candidate must meet the following qualifications:

  • A Bachelor’s Degree in Finance, Accounting, or a related field from a recognized university.
  • Certified Public Accountant (CPA (K)) or other equivalent professional qualifications.
  • A minimum of 4 years of relevant financial accounting experience, preferably within an NGO or similar environment.
  • Proficiency in Sage accounting software or other Enterprise Resource Planning (ERP) systems.
  • Demonstrable knowledge in donor funding, sub-grant management, and financial monitoring.
  • Strong analytical skills and the ability to meet strict deadlines.
  • Exceptional communication, report writing, and presentation skills.
  • A team player with the ability to work independently with minimal supervision.
  • High levels of integrity, honesty, and accountability in financial matters.
  • Excellent planning, coordination, and attention to detail.

Desired Skills and Competencies

The ideal candidate should possess the following skills:

  • In-depth knowledge of computerized accounting packages, especially SAGE accounting software.
  • Strong understanding of donor-funded projects, including the financial reporting requirements of such projects.
  • Ability to work effectively under pressure and manage multiple deadlines.
  • Strong problem-solving and decision-making capabilities.
  • Ability to liaise with cross-functional teams to ensure budget and reporting compliance.
