Key Responsibilities
Primary Duties
- Book-keeping: Manage cash and bank books, payments, and all financial documentation.
- Financial Reporting: Support in the preparation of financial reports and audits.
- Partner Monitoring: Review and monitor partners’ financial reporting and compliance with DSW and/or donors’ regulations.
- Payroll Preparation: Prepare payroll and follow up on social security regulations.
Specific Tasks
- Monthly Reconciliation: Reconcile multicurrency cashbook with bank statements and check balances against verifiable documents.
- Payments Processing: Prepare cheque, Mpesa, and online bank transfers, ensuring payments are made against verifiable accounting and documentation standards.
- Data Entry: Ensure accurate and timely posting of data into the accounting system (SUN Ledger), including payments and journals.
- Reimbursements: Follow up on reimbursements and surrender of imprest as per approved procedures.
- Reporting Compliance: Ensure internal, partners’, and donors’ financial reporting requirements and deadlines are adhered to.
- Financial Statements: Assist in the preparation of monthly, quarterly, and annual revenue, expenditure returns, and financial statements.
- Resource Mobilization: Support resource mobilization by developing, maintaining, analyzing, and tracking project budgets.
- Capacity Building: Build partners’ capacity on financial aspects, including the development and implementation of record-keeping and reporting tools.
- Monthly Payroll: Prepare timely and accurate monthly payroll.
- Monthly Closing Processes: Provide support for monthly closing processes, including preparation of general ledger files, account reconciliations, and expenditure by cost center/project.
- Audit Preparation: Assist in financial audit preparation and coordination of the audit process.
- Statutory Deductions: Withhold and remit statutory deductions such as PAYE, NHIF, NSSF, VAT, NITA, Housing Levy, among others.
- Additional Duties: Perform any other duties as assigned by the supervisor.
Qualifications and Skills
- Education: Bachelor’s degree from a recognized university, majoring in a business-related course with full or part professional accounting qualification such as CPA (K) or ACCA.
- Experience: Minimum of 2 years progressive working experience in a similar position within an NGO or institutional donor-funded environment.
- Technical Skills:
- Proven donor finance and project management skills.
- Working knowledge of integrated accounting packages; experience with SUN Systems is highly desirable.
- Advanced MS Excel skills.
- Analytical Skills: Excellent technical accounting, analytical, and computer skills.
- Strategic Thinking: Ability to think strategically and implement practical actions to a high standard.
- Communication Skills: Excellent oral and written communication skills in English.
- Organizational Skills: Strong organizational skills and meticulous attention to detail.
- Integrity: High level of integrity and honesty.
- Tax Knowledge: Knowledge on tax matters such as VAT, PAYE, and annual returns.
