In Sub-Saharan Africa, we maintain a presence in 19 countries, including Kenya, where we have been active since 2007. Our projects focus on peace promotion, community cohesion, and fostering justice through collaborative activities like radio programs and outreach initiatives. Our work in Kenya currently spans the Coastal region, including Kwale, Kilifi, Mombasa, Lamu, Garissa, and Tana River Counties.

We are looking for a Finance and Admin Grants Intern to join our team in Garissa. This opportunity offers hands-on experience and exposure to critical financial and administrative processes within a multicultural and dynamic organization.


Key Responsibilities

As a Finance and Admin Grants Intern, you will work closely with the Finance and Administration Department to perform the following tasks:

Logistics and Procurement Support

  • Assist in organizing logistics for meetings, field activities, venues, and accommodation.
  • Initiate purchase requests and gather quotes for various procurement needs.
  • Prepare bid analyses as required for procurement decisions.
  • Confirm stock-taking for office supplies and initiate replenishment requests.

Administrative Duties

  • Assist with photocopying, scanning, and filing of documents.
  • Issue stationery to staff and manage inventory records.
  • Conduct supplier, consultant, and participant watchlist checks.
  • Remit statutory payments on time.

Office Management

  • Ensure office cleanliness and orderliness.
  • Run office errands efficiently.

Financial and Audit Support

  • Support pre-audit assessments.
  • Assist in filing withholding tax for consultant payments.
  • Follow up with Program and DME teams for submission of original documents.

Deliverables

  • Ensure timely and accurate documentation of procurement activities.
  • Maintain adequate supplies for office and kitchen needs.
  • Submit supplier invoices to finance promptly.
  • Provide reliable logistical support for meetings and activities.

Internship Terms

  • Supervision: The intern will report directly to the Finance Officer, who will set tasks and evaluate performance.
  • Working Days: Five days per week, with prior agreement for any days off.
  • Location: The internship will be based in Garissa.
  • Duration: January 2025 to June 2025.
  • Termination: Either party may terminate the internship with a one-month written notice.
  • Resources: Interns are required to have a personal laptop for operational ease.

Qualifications and Skills

We are looking for dynamic, motivated individuals who meet the following qualifications:

Educational Background

  • Bachelor’s degree in Finance or Accounting.
  • CPA/ACCA Part 1 certification is an added advantage.

Technical Skills

  • Proficiency in Microsoft Office Suite.

Interpersonal and Professional Skills

  • Excellent communication and interpersonal abilities to engage effectively with diverse stakeholders.
  • Strong organizational and problem-solving skills.
  • Cultural sensitivity and adaptability to work in a multicultural environment.

Language Proficiency

  • Fluency in both written and spoken English and Swahili.

Personal Attributes

  • Creative, enthusiastic, and self-motivated with a proactive approach to tasks.
  • Ability to work with minimal supervision in a fast-paced environment.
