Role Summary

The Executive Assistant to the CEO and CoS is responsible for providing comprehensive support to the CEO, CoS, and Board of Directors, and Executive Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.


Job Description

Performance Criteria

Support to the Office of CEO, through the Chief of Staff

Working closely with the Chief of Staff, to support the CEO on a day-to-day basis, with the following:

  • Travel Arrangements: Arranging local and international travel and accommodation.
  • Meeting Organization: Organizing meetings, managing calendars, and ensuring meetings are scheduled, minuted, and action points followed up and executed.
  • Document Management: Filing and retrieving corporate records, documents, and reports.
  • Research and Preparation: Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Main Point of Contact: Acting as the main point of contact and interface between the CEO and various stakeholders, including management, board members, major donors, and partners.
  • Event Participation: Supporting the CEO with planning toward participation in high-level events and meetings that require his presence.

Board Engagement

  • Board Liaison: Fulfilling the role of board liaison, assisting with board communication, and coordinating board meetings and documents.

Operational

  • Information Sharing: Facilitating information sharing and communication from the Office of the CEO throughout the organization and to external stakeholders and partners.
  • Presentation Development: Helping develop the CEO’s presentations when required.
  • Expense Management: Managing expenses of the Office of the CEO against standard operating procedures.
  • Performance Reviews: Ensuring performance reviews take place in a timely manner twice a year.
  • Efficiency and Responsiveness: Ensuring the office of the CEO is efficient, cost-effective, and responsive to the needs of Space for Giants.
  • Donor Safaris: Managing Journeys for Giants (JFG) accommodation bookings, travel, logistics, and all related correspondence for donor safaris.

Stakeholder Management

  • Professional Relationships: Maintaining professional and respectful relationships with stakeholders, including SFG staff, donors, board members, partners, and community members.

Special Projects

  • Ambassador: Representing the CEO and CoS when requested.
  • Special Assignments: Providing input as per special assignments requested by the CEO and CoS.
  • Research and Reporting: Conducting research/assessments on special projects/assignments and reporting on findings as requested.

Culture and Values

  • Organizational Culture: Driving the organizational culture to internal and external stakeholders.
  • Behavior Encouragement: Conducting oneself and encouraging team behavior to create awareness and reinforce the organizational vision, values, and culture contract.

Additional Tasks

  • Miscellaneous: Performing any other relevant tasks related to the role as directed by the supervisor.

Experience, Knowledge & Competencies

  • Education: Bachelor’s degree in business administration or a related field.
  • Experience: Minimum of 5+ years of applicable administrative experience, demonstrated experience supporting C-Level Executives, preferably in international organizations.
  • Technical Skills: Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms. Experience with Gmail, Google Calendar, and other Google services is a plus.
  • Travel Management: Experience in travel and tourism management would be advantageous.
  • Organizational Skills: Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Interpersonal Skills: Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Performance Goals: Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Communication Skills: Strong oral and written communication skills, with the ability to communicate clearly and effectively with senior leaders and external partners.
  • Administrative Skills: Skillful execution of administrative activities, with high attention to detail, in the organization and execution of processes.
  • Preferred Experience: Demonstrated international work experience and experience in conservation or international development sectors.
