Role Overview: Executive Assistant
This full-time, on-site position involves providing critical administrative support to the Managing Director of Vision Plus Kenya. The role requires excellent organizational skills, attention to detail, and a proactive approach to managing tasks. As an Executive Assistant, you will handle everything from managing schedules and meetings to preparing expense reports and overseeing HR-related tasks. Your contributions will help ensure the smooth operation of the executive office and support the company’s strategic goals.
Key Responsibilities
- Calendar and Schedule Management: Oversee the Managing Director’s calendar, scheduling appointments and prioritizing key meetings.
- Communication Support: Write and manage emails, memos, and other communications on behalf of the executive.
- Expense Reporting: Track and compile expense reports, ensuring accuracy and timely submission.
- Event Planning: Organize internal meetings and events, including arranging catering and logistical details.
- Visitor Coordination: Welcome and direct visitors, ensuring they are properly guided within the company.
- HR Support: Assist in maintaining employee records and support HR functions as required.
- Office Management: Manage office supplies and supervise clerical staff, ensuring a well-organized office environment.
Required Skills and Qualifications
Essential Qualifications
- Proven experience in executive administrative assistance, including managing schedules and communications.
- Strong multitasking abilities and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Highly organized, with the ability to prioritize and handle multiple tasks efficiently.
- Strong attention to detail and ability to manage sensitive information with discretion.
Preferred Qualifications
- HR knowledge or experience is a plus.
- A Bachelor’s degree in Business Administration or a related field is advantageous.
- Previous experience in the electronics industry is preferred but not required.
