Core Duties and Responsibilities

As an Executive Assistant at Emerge Egress Consulting, you will play a pivotal role in ensuring the smooth operation of our executive functions. Your responsibilities will include:

  • Business and Personal Diary Management: Efficiently manage and organize the Managing Director’s calendar, ensuring all appointments, meetings, and engagements are appropriately scheduled.
  • Email Management: Proactively manage and respond to emails on behalf of the Managing Director, ensuring timely and accurate communication.
  • Meeting Coordination: Oversee and coordinate all meetings, ensuring they are scheduled, organized, and conducted in a pro-active and efficient manner.
  • General Administrative Duties: Ensure that all administrative functions within the office run smoothly, from document preparation to correspondence handling.
  • Liaison with Key Industry Contacts: Act as the main point of contact between the Managing Director and key contacts within the industry, ensuring effective communication and relationship management.
  • Preparation of Briefs and Reports: Prepare briefs, minutes, presentations, and reports for meetings, ensuring all documentation is accurate and delivered on time.
  • Travel and Logistics Coordination: Manage all logistical details for business trips, including travel arrangements, visa applications, itinerary planning, and accommodation bookings. Occasionally, accompany the Managing Director on business trips to provide assistance during meetings and presentations.
  • Communication Management: Handle high-volume phone calls and other corporate communication tools on behalf of the Managing Director, ensuring all messages are relayed promptly and accurately.
  • Representation in Meetings: Represent the Managing Director in various meetings, ensuring that the company’s interests are well-represented and all necessary actions are followed up.
  • Preparation for Meetings: Prepare schedules, meetings, equipment, and other necessary materials ahead of meetings to ensure everything runs smoothly.
  • Event Coordination: Assist with the planning and execution of scheduled programs, events, and activities, ensuring all logistics are in place.
  • Monitoring of Assignments: Monitor the implementation of various assignments and policies, ensuring that deadlines are met and objectives are achieved.
  • Execution of Personal Errands: Execute personal errands for the Managing Director as required, ensuring that personal and professional tasks are balanced.
  • Additional Duties: Undertake any other duties as allocated by the Managing Director, ensuring all tasks are completed efficiently and to a high standard.

Job Specifications

Qualifications
To be successful in this role, you should possess the following qualifications:

  • Bachelor’s Degree in Business Administration, Communication, or a related field.
  • A minimum of 3 years of relevant work experience in a similar role.
  • Proficiency in Microsoft Office Suite, with a strong command of Word, Excel, and PowerPoint.
