Job Overview

Atarah Solutions, on behalf of our client in the Manufacturing industry, is seeking a highly organized and motivated Executive & Admin Assistant to support the Managing Director (MD). This role involves providing critical administrative and HR support to ensure smooth operations across the organization. As the Executive & Admin Assistant, you will act as a key point of contact between the MD and the internal staff, handling a wide range of executive and administrative tasks with discretion and professionalism.


Key Responsibilities

Executive Support

  • Provide Executive Support to the Managing Director by managing schedules, prioritizing tasks, and ensuring seamless communication across departments.
  • Respond to people-related matters on behalf of the MD, addressing inquiries and requests in a timely and professional manner.
  • Liaise between the MD and the staff, managing sensitive matters with confidentiality, ensuring smooth workflow and communication.
  • Coordinate meetings and events, handling logistics, agendas, and follow-up actions to ensure successful outcomes.

Administrative Support

  • Handle correspondence on behalf of the MD, drafting memos, emails, and reports as required.
  • Manage office operations, including ordering supplies, maintaining records, and organizing files to optimize efficiency.
  • Coordinate travel arrangements for the MD and other senior management, ensuring cost-effective and well-organized travel plans.
  • Prepare presentations and other documentation for meetings, ensuring all materials are ready for executive decision-making.

HR Support

  • Support HR processes, including handling sensitive disciplinary matters in collaboration with the HR department.
  • Assist in recruitment and onboarding by coordinating interviews, preparing documentation, and ensuring a smooth hiring process.
  • Manage employee records, ensuring compliance with company policies and relevant regulations.
  • Coordinate training sessions and workshops to enhance employee development and performance.

Qualifications & Skills

  • Bachelor’s Degree in Business Administration, Human Resources, or a relevant field.
  • 3+ years of experience in an administrative or executive support role, ideally within the Manufacturing sector.
  • Experience in handling HR processes and administrative functions within a dynamic work environment.
  • Proficiency in MS Office Suite, particularly in Word, Excel, and PowerPoint for document creation and data analysis.
  • Strong communication skills, both written and verbal, with the ability to interact professionally at all levels.
  • Exceptional organizational skills with an ability to multitask, prioritize, and meet deadlines.
  • Attention to detail and the ability to handle sensitive information with discretion and confidentiality.
