Job Overview

Position: Department Manager
Primary Responsibility: Providing exceptional administrative support to the Chief GEDI Officer, ensuring the success of our performance-focused team.
Location: Various Global Locations

Major Responsibilities

Administrative and Logistical Excellence

  • Efficient Workflow Management: Organize schedules, travel, and appointments for the Chief GEDI Officer.
  • Strategic Prioritization: Align requests with GEDI Unit priorities, optimizing team efficiency.
  • Effective Liaison: Bridge communication between the GEDI unit and key partners, ensuring follow-through.
  • Cohesive Culture: Foster unity through communication strategies and regular GEDI staff interactions.
  • Knowledge Management: Develop and manage a comprehensive filing system for efficient information retrieval.
  • Event Support: Contribute to GEDI Unit events, conferences, advocacy initiatives, and retreats.
  • Proactive Support: Be accessible and responsive, driving the GEDI Unit’s success.

Budget and Contract Management

  • Budget Oversight: Collaborate on budget development and manage expenses for the GEDI Unit.
  • Expense Tracking: Analyze monthly vs. actual budgets, resolving discrepancies.
  • Financial Communication: Synthesize budget issues for follow-up actions.
  • Financial Transactions: Handle expense reports, purchase orders, and contracts via Integra software.

Human Resources Leadership

  • HR Records: Maintain and archive GEDI Unit’s HR records.
  • Staff Transitions: Facilitate onboarding and HR paperwork for new and transitioning staff.
  • Asset Management: Maintain team assets, org chart, and staff roster.
  • Supervision: Oversee interns and admin positions, providing support and guidance.

Development Opportunities

  • Dynamic Learning: Engage in deep discussions, internal/external events, and training to grow your GEDI-related skills.
  • Proposal Support: Assist GEDI Unit staff in developing proposals, including concept notes, budgets, and initiatives.
  • Impactful Initiatives: Contribute to critical GEDI initiatives, driving organizational change.

Job Requirements

Experience:

  • Minimum 3 years of full-time professional work experience, including 2 years in a similar role.
  • Experience in Gender equality, Diversity and Inclusion or workplace culture change is advantageous.

Skills and Competencies:

  • Organizational and administrative prowess, managing multiple portfolios efficiently.
  • Strong discretion, initiative, critical thinking, and self-motivation.
  • Independent, effective execution in a fast-paced environment.
  • Budget management expertise, including expense tracking and planning.
  • Exceptional interpersonal and communication skills.
  • Service-oriented mindset, adaptable to changing priorities.
  • Creative problem-solving skills and ability to advocate for new ideas.
  • Tech-savvy: Proficient in MS Word, Excel, PowerPoint, Outlook, and file sharing.
  • Collaborative team player with a global perspective.
  • Understanding of Gender equality, Diversity equality, and inclusion practices.

Language Skills: English (fluent); French, Spanish, or Arabic is a plus

Working Environment

  • Standard office setup with hybrid in-person or remote work options.
  • Occasional travel, up to 10% of the time.
