Job Overview

As a leading distributor in Nairobi, Kenya, Prestige Distributors is seeking a Customer Service Representative who excels in providing top-notch service to our valued customers. This role is critical in managing customer interactions, generating invoices, and maintaining customer accounts. The ideal candidate will possess a keen attention to detail, strong multitasking abilities, and hands-on experience with Sage accounting software.

Key Responsibilities

As a Customer Service Representative at Prestige Distributors, you will be responsible for:

1. Generating Sales Invoices and Credit Notes

  • Prepare and generate accurate sales invoices and credit notes to ensure timely billing and reconciliation.
  • Ensure that all invoices comply with company policies and procedures, maintaining accuracy in all financial documentation.

2. Managing Incoming Phone Calls

  • Handle customer inquiries efficiently by answering incoming calls, providing accurate information, and resolving issues.
  • Ensure high levels of customer satisfaction by responding promptly to customer needs and requests.

3. Maintaining Customer Records

  • Keep meticulous records of customer interactions, including communications, transactions, and updates to customer accounts.
  • Manage and process customer accounts, ensuring all data is accurately entered and filed in accordance with company standards.

4. Performing Clerical Work

  • Support daily office operations by performing clerical tasks such as data entry, filing, and documentation.
  • Assist in maintaining an organized workspace, ensuring that all administrative tasks are completed promptly and accurately.

Qualifications and Skills

To be successful in this role, you should meet the following qualifications:

Minimum Qualifications:

  • Diploma in Accounting or CPA IV certification.
  • Two years of experience in clerical work, with a focus on customer service and administrative tasks.

Key Skills:

  • Strong attention to detail to ensure the accuracy of invoices, customer records, and clerical tasks.
  • Ability to multitask and manage multiple responsibilities simultaneously while meeting deadlines.
  • Proficiency with Sage accounting software and a fast typing speed to manage records and accounts effectively.
  • Excellent communication skills to interact with customers professionally and address their needs.
