Job Summary

The Embassy of Ireland in Nairobi is seeking a Consular Officer who will play a crucial role in promoting and protecting the values, interests, and economic well-being of Ireland and its people. As a Consular Officer, you will be an integral part of the team, providing high-quality consular services to Irish citizens and other clients in Kenya, Eritrea, Somalia, and Sudan. This role demands a resourceful, proactive, and flexible individual with a minimum of five years of professional experience in a similar environment.

The successful candidate will have a comprehensive understanding of consular services, including visa applications, passport services, and consular advice and assistance. Proficiency in ICT skills and familiarity with the Department of Foreign Affairs High-Level Goals and Objectives is essential.


Key Responsibilities

Consular Services Delivery and Monitoring

  • Visa Processing: Take receipt of and process visa applications for travel to Ireland, liaising with the Department of Foreign Affairs and the Department of Justice in Ireland as necessary.
  • Passport and Registration Services: Handle applications for passports, Foreign Birth Registrations, emergency travel documents, and other consular services.
  • Consular Assistance: Assist diplomatic staff in providing consular assistance to Irish citizens and their families in Kenya and other accredited countries.

Records and Database Management

  • Consular Records Maintenance: Maintain quality consular records in accordance with organizational policies.
  • Reporting: Compile, edit, and submit reports on consular activities as required by the Embassy and the Department of Foreign Affairs.
  • Stock Management: Ensure the availability of visa stickers, passport forms, and other necessary documentation at all times.

Travel Advice and Security Developments

  • Security Monitoring: Stay informed about security developments and other relevant issues in the countries of accreditation, ensuring that the Embassy’s travel advice is up to date.
  • Website Management: Regularly update the Embassy’s website with current travel advice and security information.

Support Functions

  • Ad Hoc Duties: Perform other duties as required by the Ambassador and other diplomatic staff, including on-call work outside regular office hours.

Qualifications and Skills

Essential Requirements

  • Educational Background: A degree in Business or Public Administration, Office Management, or Social Sciences.
  • Professional Experience: A minimum of five years of experience in a customer-facing role, with previous experience in consular services provision or general office administration.
  • Interpersonal Skills: Excellent interpersonal skills with the ability to work in a team and effectively deal with external organizations.
  • Organizational Skills: Strong organizational skills with excellent attention to detail, and the ability to work under pressure and manage multiple tasks.
  • Analytical Ability: Strong analysis and judgment skills, capable of presenting clear conclusions and recommendations.
  • Language Proficiency: Fully bilingual in English and Kiswahili (language test may be included in the shortlisting process).
  • ICT Proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Integrity: Demonstrated integrity and honesty, supported by relevant references.
  • Legal Right: Permanent legal right to reside and work in Kenya.
  • Police Clearance: Current police clearance certificate required.

Desirable Skills and Experience

  • Department of Foreign Affairs Knowledge: Understanding of the role of the Department of Foreign Affairs of Ireland and the Embassy of Ireland in Kenya.
  • Diplomatic Experience: Previous experience in a diplomatic mission is desirable.
  • Further Qualifications: Additional qualifications in Business Administration or a relevant field are an advantage.

  • Second Interview: A second interview may be included.
