This role will play a key part in coordinating the office reception function, driving sales, and fostering member engagement for the Sinapis Entrepreneurship Hub—a unique internal office and ecosystem coworking space. Reports to: Global Administration Manager
Role Level: Associate or Coordinator, depending on experience

The Community Administrator will oversee daily office operations at the Sinapis office, including event management, co-working membership sales, and member engagement. This role involves a 40% focus on sales, 40% on office management, and 20% on member engagement. The ideal candidate is people-centric, eager to learn, detail-oriented, and comfortable in a scaling team environment.


Key Responsibilities

  • Receptionist and Client Support Duties: Deliver exceptional services at the Sinapis office and act as the first point of contact for all visitors and clients.
  • Office Sales Management: Manage the office sales process to bring in new co-working members and space rentals with quarterly targets. Proactively generate and convert sales leads, conduct office tours, and host informational sessions.
  • Client Relationship Management: Facilitate successful client relationships related to office co-working and event rentals by providing on-site support and being a primary contact.
  • Lead the House Team: Oversee ongoing maintenance and care of the office space, including scheduling and facilitating meetings, delegating tasks, and ensuring task execution.
  • Supervise Office Steward Personnel: Manage a team of office stewards to maintain high standards of cleanliness and service.
  • Support Program Sales: Assist in program sales by engaging with prospective clients who visit the office.
  • Monitor Office Operations: Proactively identify and solve operational issues to ensure smooth functioning of the office.
  • Disseminate Office Policies: Ensure all office policies and procedures are effectively communicated to all staff and clients.
  • Manage IT Systems: Maintain a working knowledge of office IT systems and provide troubleshooting support when needed.
  • Procurement and Inventory Management: Prepare and maintain accurate records of all office purchases and procurement activities.
  • Supplier and Vendor Relations: Develop and maintain strong relationships with suppliers and caterers to ensure timely delivery of office supplies and services.
  • Conflict Resolution: Act as a mediator for any office-related conflicts and refer to appropriate parties when necessary.

  • Additional Duties: Take initiative to address other needs as anticipated or assigned by your manager.
