The USAID Africa Trade and Investment (ATI) Activity is a flagship initiative supporting the Prosper Africa strategy to accelerate and expand trade and investment in Africa. This activity employs market-driven approaches to address barriers to trade, strengthen institutional support, and enhance private-sector collaboration across African nations and the U.S.
Operating under a comprehensive, flexible, and performance-oriented model, ATI collaborates with various USAID Missions, private-sector entities, and other stakeholders to meet market demands and opportunities. With a small, core operational team and an extensive subcontracting and grant-based framework, ATI is strategically positioned to drive impactful results on a continental scale.
Key Responsibilities
Administration
- Manage meeting room bookings, resolve scheduling conflicts, and optimize utilization of meeting spaces.
- Oversee office space allocations for staff and consultants, including managing access and parking tags.
- Maintain an inventory of office supplies, ensuring accurate documentation and equipment maintenance.
- Provide logistical support for meetings and events, including document preparation and venue setup.
- Regularly update and maintain the project events calendar and distribute it to staff.
- Manage and update essential contact profiles and project communication resources.
- Coordinate with procurement, logistics, and home office teams for administrative and operational needs.
- Supervise office stewards in collaboration with the Operations Director and external vendors.
- Process payments for office operations, including petty cash, utilities, and related expenses.
- Manage vendor relationships related to office administration services.
- Support visiting staff with schedules and administrative needs.
- Assist in managing office security and maintaining effective communication with landlords and facility managers.
- Collaborate with IT staff to ensure seamless operation of the local area network.
- Handle facilities management, improvements, and repairs.
Human Resources
- Support recruitment activities, including job postings, applicant shortlisting, reference checks, and interviews.
- Oversee personnel filing on digital platforms like SharePoint and TAMIS.
- Track performance management processes, including probationary and annual reviews.
- Organize new employee orientation sessions.
- Monitor and manage staff leave applications, ensuring timely updates on TAMIS.
- Collect and organize timesheets to meet project deadlines.
Qualifications
- Education: Bachelor’s degree in HR, Business Administration, or a related field.
- Experience: A minimum of 6+ years in administration and HR support roles.
- Technical Skills: Knowledge of USAID administrative and HR policies is preferred, along with experience in TAMIS and similar systems.
- Communication: Exceptional writing, speaking, and interpersonal skills.
- Ethics: High ethical standards with the ability to manage sensitive information.
- Other Skills: Proficient in interpreting and applying laws, regulations, and organizational policies.
