Key Responsibilities

As the Administrative Assistant, you will be responsible for supporting the office’s day-to-day operations. The following are your principal accountabilities:

Front Office Management

  • Assist in manning the front office, ensuring that all visitors are greeted and assisted promptly and courteously.
  • Monitor visitor access and maintain security protocols, ensuring that company policies are upheld.
  • Respond to inquiries from walk-in clients and provide accurate information regarding services offered.

Administrative Support

  • Maintain an up-to-date filing system, ensuring that all records, documents, and office equipment are secured and organized.
  • Handle telephone calls efficiently, screening and directing them to the appropriate departments or individuals.
  • Manage the appointment diary of key personnel, ensuring that schedules are optimized.
  • Coordinate meetings and organize catering, ensuring that all logistical needs are met for a seamless experience.
  • Provide general clerical support, such as photocopying, faxing, mailing, and file management.

Documentation and Mail Handling

  • Receive, sort, register, and distribute incoming mail for the assigned department, ensuring timely action and accurate distribution.
  • Ensure security and confidentiality of office records, equipment, and documents.

Client Research and Lead Generation

  • Conduct market research to identify potential clients aligned with the company’s goals.
  • Qualify leads and generate interest in Bellmac Consulting’s services by making initial contact via phone or email.
  • Assist the business development team with tender and proposal preparation when required.

Qualifications, Skills, and Experience

The ideal candidate for this position must possess the following:

Educational Requirements

  • Diploma/Degree in any of the following disciplines:
    • Customer Service
    • Public Relations
    • International Relations and Diplomacy
    • Communication Management
    • Front Office Management
    • Or an equivalent qualification from a recognized institution.

Experience Requirements

  • At least 3 years of relevant experience in front office administration or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is a must.
  • Experience in Customer Service/Care is an added advantage.
