The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa, serving as a pivotal center for the UN’s operations on the continent. As the representative of the Secretary-General in Kenya, the Director-General of UNON plays a crucial role in supporting global UN programs and facilitating the UN Environment Programme (UNEP), the UN Human Settlements Programme (UN-HABITAT), and the Resident Coordination System (RCS) globally. About the Internship

This Administration and HR Internship position is based in the Department of Security and Safety Service (DSS) within the Security and Safety Service (SSS) at the Nairobi duty station. The role supports the Security and Safety Service in providing comprehensive security to delegates, staff, visiting dignitaries, and other visitors.

Under the direct supervision of the Senior Administrative Assistant and the overall command of the Chief of Security and Deputy Chief of Security, the intern will be involved in a range of administrative and HR tasks to support the department’s operations.

Key Responsibilities

Administrative Duties

  • Data Entry and Extraction: Process access badges/passes for all UN visitors, affiliates, and conference participants.
  • Document Screening: Verify supporting documents for identity/access card requests according to Standard Operating Procedures (SOP).
  • Correspondence Production: Utilize standard word processing software to produce various routine documents, including correspondence, reports, tables, charts, and graphs.
  • Proofreading: Ensure completeness and grammatical accuracy of written products.
  • Calendar Management: Maintain and manage schedules; communicate changes to relevant staff.
  • Mail Processing: Review, record, route, and process mail/documents; track and monitor follow-up actions.
  • File Maintenance: Maintain both paper and electronic files, including photo databases for UN visitor badges.
  • Distribution List Management: Update large distribution lists; assemble documents for global dissemination.
  • Confidential Information Management: Review and tabulate confidential HR data for service use.
  • Calculation and Coding Checks: Verify accuracy of simple calculations and data codings.
  • Document Handling: Photocopy documents and deliver urgent mail/messages.
  • Data Collection and Analysis: Assist in data collection, analysis, and preparation of reports.

HR Duties

  • Interaction with Diverse Individuals: Engage with individuals from different cultural backgrounds and beliefs, demonstrating tolerance and understanding.

Qualifications and Skills

To qualify for this internship, candidates must:

  • Be enrolled in the final year of a first university degree program in human resources management, business/public administration, social sciences, education, or a related field.
  • Have good knowledge of standard software applications, particularly MS Word, MS PowerPoint, and MS Teams.
  • Demonstrate a keen interest in the work of the United Nations and a commitment to the UN Charter ideals.
  • Exhibit the ability to interact successfully with individuals from diverse cultural backgrounds.

Languages:

  • Fluency in English is required. Knowledge of additional official UN languages is desirable.

Internship Details

Financial Remuneration: Interns are not financially remunerated by the United Nations. Costs and arrangements for travel, visas, accommodation, and living expenses are the responsibility of the interns or their sponsoring institutions.

Visa Requirements: Interns who are not citizens or permanent residents of Kenya may need to obtain the appropriate visa and work authorization.
