Job Summary

We are looking for a dedicated Accounts Payable Accountant to join our team at Nairobi Safari Club by Swiss-Belhotel. The ideal candidate will manage all payments related to goods and services rendered at our hotel while maintaining a well-organized accounts payable system. The role requires strong organizational skills, attention to detail, and the ability to handle vendor inquiries, reconciliations, and financial reporting.

Key Responsibilities

Payments and Reconciliations

• Handle the hotel’s daily banking transactions, including cash, currency, and cheque deposits.
• Process and reconcile accounts payable transactions, ensuring all goods and services are accurately recorded and billed.
• Prepare month-end reconciliations for accounts payable, ensuring all transactions are properly documented and in compliance with financial regulations.
• Regularly monitor and reconcile weekly and monthly statements from vendors.

Vendor and Supplier Management

• Respond to vendor inquiries and handle any disputes or discrepancies.
• Assist with supplier calls, addressing issues related to invoices, payment terms, and reconciliations.
• Negotiate with suppliers to ensure timely payment and optimal terms for the hotel.

Financial Reporting

• Prepare daily, weekly, and monthly accounts payable reports, including:
  • Creditors aging reports
  • Reconciliation reports
  • Voucher activities
  • Cash status reports
• Post daily banking data in SunSystems, ensuring accuracy in all transactions.
• Reconcile prepayment and paid-out accounts using the hotel’s financial software.

Qualifications and Skills

Education and Experience

• Bachelor’s degree in Accounting or a related field is required.
• A minimum of three years of accounting experience, preferably within a hotel or hospitality setting.
• Certified Public Accountant (CPA) qualification, at least Part 2, is preferred.

Technical Proficiency

• Strong understanding of accounting principles, financial regulations, and compliance standards.
• Proficiency in Microsoft Office, including Excel, Word, and Outlook.
• Experience with hotel financial systems, such as Micros, Opera, Materials Control, and SunSystems.

Key Skills

• Ability to manage vendor relations and negotiate payment terms effectively.
• Exceptional attention to detail with the ability to identify discrepancies and resolve issues proactively.
• Strong organizational skills with the ability to meet deadlines in a fast-paced environment.
• Excellent communication skills for interacting with both internal stakeholders and external vendors.
