VACANCY ANNOUNCEMENT

Kituo cha Sheria- Legal Advice Centre, a leading human rights and legal empowerment organization, is committed to empowering the poor and marginalized to effectively access justice and realize their rights through advocacy, networking, lobbying, legal aid, education, representation, and research. We are seeking dynamic, self-driven, and result-oriented individuals to fill the following positions:

  1. Accounts Assistant in the Head Office
  2. Legal Assistant in the Head Office
  3. Driver in the Mombasa Office
  4. Caretaker in the Mombasa Office
  5. Administrative Assistant in the Head Office

1. Accounts Assistant (Ref: KCS/ACC-NRB/APP)

Location: Headquarters, Nairobi

Job Summary: The Accounts Assistant will work under the Finance and Administration Department, reporting directly to the Accountant. This role involves ensuring accurate processing of financial transactions, maintaining payroll records, and managing accounting documents.

Key Responsibilities:

  • Receiving and Verifying Payment Instructions: Handle cheques, petty cash, imprest requisitions, salary advances, claims, bills, and invoices.
  • Compiling and Sorting Payment Instructions: Ensure accuracy and proper documentation before posting.
  • Preparing and Dispatching Cheques: Forward payments for approval and ensure signatures are in place.
  • Managing Payroll: Compile payroll data, calculate deductions, and reconcile errors.
  • Maintaining Accounting Records: File documents and manage daily collections.
  • Reporting: Prepare financial reports showing cash receipts, expenditures, accounts payable/receivable.

Minimum Qualifications and Relevant Experience:

  • Education: Bachelor’s Degree in Commerce (BCom) with Accounting option or CPA Part II.
  • Experience: Minimum of one year in accounting or bookkeeping within the NGO sector.
  • Skills: Proficiency in word processing, Excel, and QuickBooks.

2. Legal Assistant (Ref: KCS/LA-NRB/APP)

Location: Headquarters, Nairobi

Job Summary: The Legal Assistant supports legal operations by managing client files, handling court documentation, and assisting with legal aid clinics and workshops.

Key Responsibilities:

  • Client File Management: Retrieve, open, and file client documents systematically.
  • Court Documentation: File pleadings, pay court fees, and manage hearing dates.
  • Client Communication: Notify clients about case updates and handle inquiries.
  • Administrative Tasks: Assist with arbitration, negotiate out-of-court settlements, and prepare reports.

Minimum Qualifications and Relevant Experience:

  • Education: Kenya Certificate of Secondary Education (KCSE) with credits in English and Social Ethics, plus a current process server certificate.
  • Experience: Minimum of five years as a paralegal clerk in a busy law firm.
  • Skills: Strong communication skills and proficiency in word processing.

3. Driver (Ref: KCS/DRV-MSA/APP)

Location: Mombasa Regional Office

Job Summary: The Driver will provide transportation services, maintain vehicle records, and ensure safety and cleanliness of the vehicle.

Key Responsibilities:

  • Transportation Services: Provide transport to and from project sites.
  • Vehicle Maintenance: Keep records of trips, maintenance, and accidents.
  • Safety Briefing: Conduct safety briefings for passengers.
  • Emergency Response: Handle emergencies and ensure vehicle compliance.

Minimum Qualifications and Relevant Experience:

  • Education: ‘O’ Level Certificate with a valid Kenyan driver’s license. Mechanical knowledge is a plus.
  • Experience: Minimum of five years driving experience with familiarity in both urban and rural areas.
  • Skills: First Aid, basic automobile repairs, and proficiency in word processing.

4. Caretaker (Ref: KCS/CT-MSA/APP)

Location: Mombasa Regional Office

Job Summary: The Caretaker will maintain cleanliness and hygiene in the office, support meetings, and manage supplies.

Key Responsibilities:

  • Office Cleanliness: Ensure the office and kitchen areas are clean.
  • Meeting Preparation: Prepare and clear up after meetings.
  • Stock Management: Conduct weekly checks and liaise with the Accounts Department.
  • Reception Duties: Cover receptionist duties as needed.

Minimum Qualifications and Relevant Experience:

  • Education: O-level (Form 4) Education certificate.
  • Experience: At least one year in housekeeping or a similar role.
  • Skills: Good communication skills, computer literacy, and ability to work independently.

5. Administrative Assistant (Ref: KCS/ADA-NRB/APP)

Location: Headquarters, Nairobi

Job Summary: The Administrative Assistant will handle front office operations, manage procurement, and oversee security and maintenance of facilities.

Key Responsibilities:

  • Front Office Management: Operate the PABX switchboard and handle client inquiries.
  • Procurement and Supplies: Manage requisitions and issue goods.
  • Facility Management: Supervise maintenance, security, and organize events.
  • Report Preparation: Prepare reports for various programs.

Minimum Qualifications and Relevant Experience:

  • Education: Diploma in Customer Service, Secretarial Studies, or Business Administration.
  • Experience: Minimum of three years in a busy office setting.
  • Skills: Strong communication, basic accounting, and human resources skills.
