Introduction

The U.S. Embassy in Nairobi is currently seeking an experienced Administrative Clerk to join our dedicated KUSLO office in Mombasa. This role is integral to the seamless operation of critical logistics, serving as a bridge between the U.S. government, Kenyan governmental bodies, and the military.

Key Responsibilities

As the Administrative Clerk in KUSLO, you will perform essential functions to facilitate U.S. and Kenyan military and governmental collaborations. Responsibilities include but are not limited to:

  • Logistics Coordination: Oversee and coordinate logistical support for military operations and diplomatic activities in Mombasa.
  • Relationship Management: Establish and maintain positive relationships with officials from Kenyan ministries and agencies, as well as U.S. military personnel.
  • Shipping & Customs Management: Supervise all customs processes for imported equipment and ensure smooth handling of customs regulations.
  • Facilities Administration: Manage KUSLO office facilities, including inventory, maintenance, and administrative supplies.
  • Air Transportation Support: Provide logistical support for air transportation operations at Moi International Airport, ensuring compliance with airfield and port regulations.
  • Record Keeping: Maintain detailed records for all logistics, operations, and engagements, ensuring the security and confidentiality of information.
  • Communication & Coordination: Liaise with U.S. and Kenyan authorities to streamline communication for the effective implementation of diplomatic goals.
  • Event Coordination: Schedule and coordinate meetings between U.S. and Kenyan officials to strengthen diplomatic relations.

Qualifications and Skills

Education Requirements

  • Completion of Secondary School Education is required.

Experience

  • Three (3) years of relevant experience in fields related to airfield operations, warehouse logistics, or general logistics is mandatory.

Language Requirements

  • English: Level 3 – Good working knowledge (both written and spoken).
  • Kiswahili: Level 3 – Good working knowledge (both written and spoken).

Job Knowledge

Applicants should possess:

  • In-depth knowledge of airfield and port operations.
  • Administrative capabilities in scheduling, coordinating meetings, and handling warehouse operations.
  • Expertise in handling aircraft and logistics equipment, particularly forklifts and warehouse machinery.

Skills and Abilities

  • Management and Team Leadership Skills: Must demonstrate excellent organizational and people-management skills.
  • Microsoft Office Proficiency: Proficiency in Microsoft Outlook, Word, and Excel is essential.
  • Driving Skills: A valid driver’s license with at least five years of experience is required.
