Position: Human Resource Officer


Role Overview

We are seeking a dedicated and experienced Human Resource Officer to join our team. This role will be pivotal in coordinating the overall administration of the Human Resources department, ensuring a conducive working environment, efficient data management, effective leave management, and maintaining the general cleanliness of the office.


Key Responsibilities

Data Management and Profiling

  • Enter and update employment and status-change data, including appointments, probation, promotions, transfers, separations, confirmation dates, end of contracts, and staffing changes.
  • Prepare periodic reports related to employee data management.

Payroll Preparation

  • Prepare the monthly payroll, ensuring all statutory deduction reports are forwarded to the finance department for payment by the 5th of every month.

Leave Management

  • Manage all types of leave (study, annual, paternity, compassionate) for the entire institution, including branches.
  • Oversee leave schedules and administration for all staff.

Administrative Support

  • Provide general clerical and administrative support to the Human Resources Division.
  • Compose and type letters, memoranda, and other correspondence related to human resources activities.
  • Prepare a variety of reports, including technical and status reports pertaining to human resource management programs.

Records Maintenance

  • Ensure all staff have up-to-date job descriptions.
  • Maintain neat, up-to-date, and secure employee files.

General Office Support

  • Perform general office support duties, including making copies, maintaining calendars, processing mail, and ordering office supplies.

Performance Analysis

  • Assist in analyzing staff needs and performance reports, including appraisals, training needs analysis, and general performance assessments.

Employee Benefits Management

  • Follow up with medical providers to ensure KIM employees are covered and issued with medical cards.
  • Process staff badges for all employees, including new hires.

Policy Development and Enforcement

  • Assist in developing, communicating, and enforcing the Institute’s policies, procedures, and code of ethics.

Key Skills and Competencies

  • Accuracy in maintaining HR records.
  • Effective Administration of HR Registry, database, and HRIS.
  • Compliance with HR policies.
  • Skills Audit expertise.
  • Payroll Management skills.
  • Records Management proficiency.
  • Knowledge of Enterprise Resource Planning (ERP) systems.
  • Computer Literacy.

Qualifications and Experience

  • Minimum of Two (2) years’ relevant experience.
  • Bachelor’s degree in Human Resource from a recognized institution.
  • Membership in the Institute of Human Resource Management (IHRM).
