In this pivotal role, you will be an integral part of our finance team, contributing to the financial health and success of our organization.
Tasks and Responsibilities
As a Finance Assistant, you will undertake a diverse range of responsibilities, including but not limited to:
1. Payment Processing and Financial Transactions
- Skillfully prepare payment vouchers and issue cheques, ensuring accuracy and efficiency.
- Maintain an up-to-date Cashbook and Ledger through regular reporting and updates.
- Post general journal entries on the ledger to maintain accurate financial records.
2. Invoice Verification and Petty Cash Management
- Assist in validating payment requests and invoices, ensuring accountability and precision.
- Participate in the preparation of petty cash reconciliations, maintaining accuracy and transparency.
3. Record Keeping and Financial Documentation
- Organize and maintain accurate records of finance-related documents such as receipts and vouchers.
- Efficiently print, stamp, and file finance documents, contributing to meticulous record-keeping.
4. Statutory Compliance and Reporting
- Collaborate on the preparation of NHIF, NSSF, and KRA payments, ensuring timely submission and accuracy.
- Support the finance team in preparing for audits and compliance-related tasks.
5. Financial Statements and Reporting
- Input required data promptly for monthly and related financial statements.
- Code and post voucher entries into the general ledger to facilitate financial reporting.
6. Reconciliation and Financial Analysis
- Conduct monthly bank account reconciliations and reconcile creditor/debtor accounts.
- Provide recommendations to address discrepancies and enhance financial accuracy.
7. Internal Controls and Team Support
- Monitor and reinforce internal controls to ensure financial integrity.
- Collaborate effectively with the finance team and undertake tasks as assigned.
Qualifications and Experience Requirements
To excel in this role, you will need:
- A degree in Commerce/Business with a specialization in Finance/Accounting and a minimum of CPA part 2.
- At least two to three years of progressive work experience, ideally including NGO exposure.
- Proficiency in iTax, NSSF, and NHIF procedures.
- The ability to prepare financial reports with meticulous attention to detail.
- Strong command of Microsoft Office Excel and other relevant computer applications.
- Hands-on experience with QuickBooks Accounting Software.
- Sound understanding of Internal Controls, Accounting, and Auditing principles.
- Unwavering integrity, professionalism, and excellent record-keeping skills.
- Outstanding administrative, interpersonal, and organizational capabilities.
- Aptitude for collaboration and effective communication, both written and verbal.
